Job Description
DISTINCTION seeks to hire talented and professional employees. Distinction is an equal opportunity employer QUALIFICATIONS & EXPERIENCE: High School graduate or High School Equivalency required with 5-7 years advanced secretarial experience. Prefer graduation from an accredited or certified advanced training program in secretarial science or related area. Minimum keyboarding skills - 55 wpm. Must possess computer skills and be proficient with word processing and spreadsheet software programs. Must be able to lift up to 20 lbs. Experience with youth, excellent written/verbal communications skills, and computer proficiency required. Valid driver's license with an acceptable driving record, unless waived by management. JOB DUTIES:
  • Provide documents to Finance Department for student pay, allotments, separations, etc. and update collected/uncollected pay as appropriate in CIS.
  • Follow all integrity guidelines and procedures and ensure no manipulation of data
  • Maintain, update, and file all active and separated student records in accordance with directives. Other job duties as assigned.
  • Perform data control operations and make required adjustments to ensure CIS schedules are met and accurate.
  • Produce quality work and complete assignments in a thorough, timely and accurate manner.
  • Perform administrative duties to include typing, filing, dictation, receiving and routing visitors, sorting, and distributing mail, arranging details of meetings, participants, agendas, etc.
  • Draft correspondence and maintain correspondence log, documenting incoming and outgoing correspondence.
  • Coordinate student transportation arrangements, ensuring student accountability and return of all transportation documents, as appropriate.
  • Evaluate implementation of quality control system, conduct quality assurance audits, and monitor/record results.
  • Gather materials to copy and sort into training/workshops binders.
  • Prepare accountability forms, student records, student travel and clothing allowance forms, maximum benefit records, status reports, and enrollment/separation forms in a timely manner.
  • Prepare CIS reports for distribution to appropriate departments as scheduled.
  • File records in student official record folders according to department standards.
  • Report errors to Student Records Manager and make corrections, as needed.
  • Conduct quarterly review of files for data integrity assurance.
  • Conduct activities to retrieve transportation documents, audit logs and reports.
  • Compile and summarize standard statistical information.
  • Proofread records and/or forms. Copy and enter needed data from one record to another, as required.
  • Maintain files, cards, forms and correspondence sent, received and/or requiring further action.
  • Oversee E&P reports control activities, ensuring timely submission to Center Director, DOL, and Corporate office.
  • Operate computers with data processing software installed including OASIS, CU, MS Office Suite, and Outlook and internet search.
  • Plan, prioritize, and organize assignments to meet established goals and deadlines.
  • Develop, implement, and manage processes to ensure enrollment files and placer approved placements meet required specifications from Department of Labor and Company standard.
  • Audit Student Records documents to ensure they meet data integrity requirements. Maintain data integrity logs.
  • Proofread written material for accuracy, check for spelling, grammar, and punctuation errors.
  • Act as liaison between the Enrollment & Placement Manager and other department heads.
  • Maintain appropriate personal attendance, accountability, and work productivity standards.
