Job Description

JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State’s Office of Physical Plant , part of the Finance and Business organization, is looking to hire a Purchasing Assistant to a ssist the Inventory Control & Distribution Specialists in Physical Plant Stores; this includes creating Desktop Requisitions, Purchase Requisitions, and Purchase Orders in Maximo.

Primary hours for this position are Monday through Friday, from 7:00AM to 3:30PM.

Primary responsibilities include:

  • Sort, open, and distribute incoming mail
  • Run reorder processes to restock materials maintained in inventory using the Maximo Software
  • Investigate and resolve invoice issues using SAP, Concur, Abacus, and Maximo Software
  • Process purchase requisitions using Purchasing (P)-Card
  • Scan and index invoices, packing slips, and purchase orders
  • Reconcile P-Card transactions using Concur software
  • Complete shopping carts in SAP/Simba
  • Review paper requisitions for accuracy and completeness, then enter these requisitions into Maximo software
  • Process purchase requisition using Maximo software
  • Prepare out-going mail, sort and send inter-office mail to departments and campuses
  • Other assigned duties related to Supply Chain

Education and Experience:

Typically requires a high school diploma or higher and one (1) year of related experience, or an equivalent combination of education and experience.

We are seeking candidates with experience in Microsoft Excel, Word, Outlook, and SharePoint. Knowledge of SAP Concur or similar system is preferred.
