The Job


The Proposal Coordinator will support the marketing department by coordinating the development of proposals, presentations and marketing materials. The Proposal Coordinator will help respond to Request for Qualifications (RFQs), Request for Proposals (RFPs), Statement of Qualifications (SOQs) and manage the proposal development process to ensure on-time delivery of compelling, compliant and well-written submissions.


The position involves proposal generation, writing, proofreading, editing, production and coordination with multiple parties. This role also involves researching, CRM/database updating and supporting other marketing department staff.


The Proposal Coordinator should exhibit strong writing skills, organization skills, a good eye for graphic design and an appreciation for the built environment. The coordinator should be able to balance multiple, rapid tasks and deadlines.


Responsibilities


  • Solicit management reviews and approvals during proposal development
  • Monitor proposal content to ensure compliance to RFP requirements, evaluation criteria and technical requirements
  • Analyze RFQs, RFPs and SOQs to create outlines and development plans
  • Maintain RFQ/RFP calendar to create transparency through marketing department and leadership
  • Coordinate proposal kickoff, as well as prepare detailed proposal plans, schedules, outlines and metrics for all phases of proposal development.
  • Elevate “leave behind” look and format (as needed)
  • Act as the central point for assigned proposals and coordinate with the appropriate team
  • Coordinate production of all marketing department submittals
  • Maintain and monitor the quality of data within the Customer Relationship Management (CRM) tool through accurate and timely date entry support, data cleanup, updates, etc.
  • Maintain marketing libraries of proposal-related information including write ups, marketing literature and resumes.


Qualifications


  • CRM and database experience preferred
  • Proficiency in Adobe InDesign and Microsoft Office Suite
  • Bachelor’s degree preferred in marketing, communications or related design field
  • 3-5 years of experience, ideally in A/E/C marketing
