Job Description
Overview


The Project Management Specialist? Project Specialist is responsible for supporting key project management and strategic initiatives that ensure efficient and effective care delivery systems, and continually producing improved outcomes which achieve/exceed organizational and project goals. Specialist is largely responsible to act as innovative change agent leader collaborating with key stakeholders and leading teams to achieve agreed upon outcomes as defined by project charter. Specialist will be expected to move projects forward on a succinct time line and will be responsible for communication of findings to promote change adoption. Will utilize PMO toolkit and standards in developing project deliverables.


Responsibilities


Core Responsibilites and Essential Functions


  • Obtain general understanding and communicating stakeholder requirements to appropriate team members, and managing all requirements accordingly
  • These may include draft RFPs, job descriptions, policies and procedures, presentations, story boards, organizational charts, etc?
  • In coordination with EPMO Manager, estimate resources and participants needed to achieve project goals, including management of vendors or consultant resources
  • Assist in other operational and improvement and implementation projects, as required
  • Schedule and host regular status meetings with all stakeholders, keeping the stakeholders needs and requirements continuously in view
  • Develop project plans and associated communications documents
  • Ensure projects are completed on time and within scope
  • Deliverable development and procurement
  • Other duties as assigned
  • Track progress and review project tasks to assign accountability to make certain deadlines are met appropriately
  • Provide facilitation and organization of large meetings, leadership teams and groups as requested
  • Identify and assist in the successful resolution of issues and conflicts within the project team
  • Attend management, project team, and customer meetings as requested
  • Establish clear ownership for project tasks, and ensure that team members have the tools needed, and provide timely feedback
  • Help to create needed deliverable documents as assigned by project leadership
  • Lead the gathering and dissemination of materials for meetings, provide edits and restructuring.
  • Support the administrative and tactical management of projects from beginning to end through all administrative processes and tools available
  • Build, develop and grow any business relationships vital to the success of the project
  • Facilitate policies and procedures during the project needed to meet deliverables (contract facilitation/management)
  • Assist Project Manager or Business Owener to define scope, goals and deliverables and manage changes in project scope throughout the duration of the project
  • Coach, mentor, motivate and supervise project team members and influence them to take positive action and accountability for their assigned work
  • Provide advisory and consultative skills to project needs and inititaives.
  • Develop and deliver progress reports, proposals, requirements documentation and presentations

Qualifications


Required Minimum Education


  • Master's Degree Preferred
  • Related field Required and
  • Bachelor's Degree in Business or Healthcare Management Required or


Required Minimum Experience


  • Minimum 2 years in project management role within a large hospital or large integrated health system Required or
  • Proficiency in MS Office Suite ? Word, PPT, Excel Required and
  • Experience leading and coordinating projects that achieved budget and timeline goals Required and
  • Experience with project management and process improvement methodologies Required


Required Minimum Skills


  • Ability to lead and motivate cross-functional teams
  • Ability to work independently with minimal supervision
  • Superior analytical abilities; ability to draw insight from findings and understand member?s business issues
  • Proven written and verbal communication skills


Required Minimum License(s) And Certification(s)


Additional Licenses and Certifications


  • PMP Preferred
