Job Description
The JCCSF is now hiring for the position of Assistant Site Director for our beautiful preschool located on Brotherhood Way in San Francisco.

GENERAL DESCRIPTION
The Assistant Director assists the Site Director in managing the preschool in accordance with the JCCSF’s vision for excellence in early childhood education. The Assistant Director supports the oversight of day-to-day operations of the preschool p rogram including family engagement, hiring, coaching and mentoring of educational staff, leading professional development, facilitating staff and team meetings and coordination and oversight of services for children with Special Rights.
RESPONSIBILITIES
Program
  • Assist Site Director in implementing policies and procedures, addressing all program related emergencies, and assuming oversight of the school in the absence of the Site Director
  • Support the implementation of the Reggio Emilia inspired and Jewish Curriculum in accordance with the mission, philosophy and goals of the Claude and Louise Rosenberg Early Childhood Education Program.
  • Oversee all scheduling needs when staff are absent and ensure that coverage is maintained to meet the staff: child ratio needs throughout the day.
  • Oversee all elements of the Summer Program
  • Oversee all elements of coverage needs for our Extended Day Program
  • Manage all elements of the diversity of learning which include social, cognitive, and behavioral concerns for children. This includes but is not limited to coordinating services, scheduling observations, facilitating meetings and referring families to outside services and providing strategies for teachers.
  • Collaborate with the Site Director to ensure health and safety practices as well as the social, emotional, physical, and intellectual development of children is maintained.
Staff
  • Work collaboratively with the Site Director to evaluate and mentor teachers including assisting with Annual Staff Evaluations for assigned staff members.
  • Provide support, guidance, and feedback to ECE staff in their planning and implementing of the curriculum, organizational systems, and maintenance of the environment.
  • Track team meetings by taking notes and maintaining a running record.
  • Meet with teaching teams weekly to reflect, revisit, and analyze teaching practices and classroom experiences using teacher’s documentation and children’s work.
  • Directly supervise staff in the classroom and outdoor spaces
  • Support new staff with their onboarding and integration into the preschool
  • Support staff by mentoring and observing areas of learning that is specific to individual teaching needs by conducting regular meetings.
  • Report to site director any challenges or concerns with staff.
  • Support staff in creating a high-quality environment by monitoring the classrooms and outdoor spaces to ensure materials are rotated regularly, are appropriate and challenging for children and are in line with our philosophy; and ensure documentation is changed regularly.
Children and Families/Children with Special Rights
  • In collaboration with the Site Director, schedule and facilitate meetings with families regarding written observations of their child’s development and any support we can offer. This includes referrals to outside services.
  • Support teaching teams in conjunction with outside specialists regarding children’s development by observing children, helping, and participating in child specific meetings as needed.
  • Maintain an active list of outside resources to refer families.
  • Maintain detailed records of children who have been observed in the classroom, have been referred, or are receiving outside services.
Administrative
  • Collaborate in creating staff meeting agendas and help facilitate staff meetings.
  • In collaboration with Site Director, review and sign off on payroll bi-weekly.
  • Generate daily sign in/out sheets as needed
  • Participate actively in the hiring of all new teachers, collect and submit all new hire paperwork to meet state licensing and JCCSF requirements
  • Provide teachers with copies of student documents that need to be kept in the classroom or fieldtrip backpacks. These include emergency and medical release forms and pick-up authorizations.
  • Receive calls from parents regarding children who are out sick or on vacation and inform staff
  • Assist in the creation of the Summer Program budget
  • Assist Site Director in overseeing the content of the online parent communication tool
  • Work in collaboration with all departments at JCCSF to ensure that all maintenance is handled and appropriate procedures are followed in the preschool; manage Landport and IT requests
  • Communicate with parents, staff, administrators, outside contractors and government agencies
  • Assist Site Director in leading preschool tours as needed.
  • Maintain office supplies, some program supplies, food for preschool, and cleaning and maintenance supplies; place orders for these items on a routine basis ensuring basic items are always in stock
  • Manage the preschool office including reception, phone communications, mail distribution, photocopying, ordering supplies, and handling correspondence
  • Meet with the Site Director weekly to discuss any concerns or needs of the program.
Admissions and Enrollment
  • Maintain and update student files to ensure that all required forms are up to date and on file in accordance with California Licensing Requirements
  • Schedule and track tours for interested families
  • Support our wiki database by working with Business Systems to ensure quality
  • Input and maintain student and family records into Salesforce
  • Process all forms for incoming and existing students
  • Update and maintain and distribute, if necessary, Parent Roster, Staff Roster, Class lists and school calendars
Kindergarten Application Process
  • Create and maintain a spreadsheet of all requests for kindergarten evaluations
  • Manage incoming kindergarten evaluation forms for each child and for each school and send out kindergarten recommendation forms when complete
  • Give student evaluation requests to teachers, along with the forms for them to complete and the deadlines for them to meet
  • Maintain a spreadsheet of application results including information on which school each child will attend.
  • Attend Kindergarten events, including but not limited to touring schools and relevant workshops.
  • Coordinate and supervise Kindergarten Application process; including but not limited to editing and training teachers in writing of kindergarten recommendations; submitting to Site Director for approval before sending to the schools.
  • Create and maintain a list of deadlines for submitting evaluations to schools
Other
  • Attend preschool events outside of regular hours which may include evening and weekend hours.
  • Participate in JCCSF committee/s as assigned.
  • Create and post monthly snack menu; assist in preparation of snack as needed and ensure all snack food is stocked
REQUIREMENTS
  • BA Degree in Early Childhood or related field; MA degree in Early Childhood a plus
  • Must have at least 24 units in Early Childhood Education including 4 Administrative units (may be currently enrolled)
  • Minimum of 4 years’ experience teaching in a Reggio-Emilia inspired preschool
  • Some teacher training experience
  • CA Site Supervisor Permit or higher
  • Proven strong, positive relationships with families and children
  • Knowledge of ages and stages of child development
  • Commitment to the mission and values of the JCCSF
WORKING CONDITIONS
Work is conducted indoors and outdoors, on-site in a school setting, with regular contact with staff, children, and families.
PHYSICAL REQUIREMENTS
Position requires seated or standing use of a computer throughout the day. Some light lifting and carrying.
