A typical day in the life of a Payroll Specialist will include but not be limited to the following:

  • Gathering data
  • Assists with the end-to-end payroll process for an 800+ employee organization in a fast-growing company with multi-state operations
  • 401(k) administration
  • Aids with multi-state tax registrations, renewals, and processing of tax notices, as well as ensuring proper tax set-up of employees while partnering with Ceridian Dayforce Tax Services
  • Provide payroll tracking, problem resolution, and research support for account reconciliation under the guidance of the Payroll and HRIS Manager in our HRIS, Ceridian Dayforce
  • Audits
  • Tax changes
  • Other duties as assigned
  • Maintains the HR Helpdesk tickets relating to toll stipend enrollments, wage garnishments, tax inquiries, benefit / payroll deductions, timesheets, and all other payroll related tickets
  • Making recommendations to improve performance metrics across programs/departments
  • Perform payroll-related functions including but not limited to:
  • Deductions
  • Processing new hires
  • Direct deposit changes
  • Maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, and other deductions
  • Performs research on new/existing state taxing authorities as needed, along with collaborating with other departments to ensure the execution of deliverables within the organization
  • Wage garnishments
  • Employment status changes

Requirements:

  • Self-starter who is action oriented and possesses a strong sense of urgency
  • Strong analytical and problem-solving skills
  • Timely payroll payments on a bi-weekly and off-cycle basis
  • Skill and Ability to:
  • Basic accounting principles as related to payroll processing
  • Operate a variety of standard office equipment
  • Closely following SOPs and company policies to ensure compliance and guidelines are met
  • Set up and maintain database files
  • Interpret, explain, and comply with prescribed laws, rules, regulations, and procedures
  • Monitor, audit, reconcile, and balance a variety of data and transactions
  • Executing payroll processing production
  • Payroll tax concepts and procedures
  • Ability to analyze data metrics and maintain the highest level of confidentiality
  • Create spreadsheets and other related forms, reports, and documents
  • Communicate concisely and effectively in both oral and written form
  • Knowledge of:
  • Proficient with or the ability to quickly learn the organization’s HRIS, payroll, and similar employee management software
  • Establish and maintain cooperative working relationships with those contacted during the course of work
  • Perform complex mathematical computations quickly and accurately
  • Identify and correct errors
  • Reconcile differences within established payroll, benefit, and accounting systems using critical analysis skills
  • Coordinate a variety of projects simultaneously
  • Experience with Ceridian Dayforce a plus
  • Use independent judgment to maintain statistical records
  • Research, analyze, and retrieve data to prepare and maintain complex payroll records, summaries, and reports
  • Standard office practices and procedures
  • Payroll practices including the ability to maintain and establish accurate employee and payroll records
  • Work independently and as a team member
  • Principles and techniques of technical record keeping
  • Applicable laws, codes, regulations, standards, methods, and practices related to payroll systems and employee benefits
  • Proficient with Microsoft Office Suite or related software, including advanced Excel proficiency
  • Any combination of education, training, and/or experience equivalent to a bachelor’s degree which demonstrates ability to perform the duties as described, including courses in accounting, business procedures, algebra, math, statistics, or related subjects; payroll processing and basic benefits experience required
