Job Description

Onward Search needs a Corporate Trade Show / Event Coordinator for a financial services client. In this role, you will support a range of global events and thought leadership webinars, primarily focusing on North America. You will collaborate with marketers and the commercial sales teams to ensure seamless logistics coordination for our extensive event portfolio. Your responsibilities will include updating the internal event management system and maintaining accurate records in the event report system, assisting the global events team in delivering successful events.


This is an 8-month project opportunity working part-time hours. Only considering candidates located in Virginia.



As a Corporate Trade Show / Event Coordinator you’ll:

  • Event operations comprise 80% of the role, while webinar support comprises 20% of the responsibilities.
  • Collaborate with the webinar team to develop overall strategy and plan timelines.
  • Negotiate vendor and venue agreements that align with our strategic priorities.
  • Utilize available systems to manage event registration, including building registration websites and communicating with registrants.
  • Prioritize customer expectations to ensure exceptional experiences at our events.
  • Support webinar management within the On24 platform, including event setup, platform support, and stakeholder reporting.
  • Manage onsite registration and coordinate all logistics with the venue, including catering and audiovisual requirements.
  • Coordinate logistics for third-party or hosted events, ensuring our brand is properly represented and generating leads.
  • Track and manage event budgets, conducting final expense reconciliation to ensure financial accuracy.
  • Source, negotiate, and manage contracts with vendors, ensuring effective vendor management throughout the event planning process.
  • Plan and execute events and conferences, handling all aspects including site selection, registration, attendee communications, audiovisual setup, banqueting, technology, and more.
  • Support the marketing team in creating booth equipment, promotional items, and event collateral.
  • Oversee the sourcing of promotional items and maintain inventory, managing coordination between our team and vendors.
  • Collaborate with marketing leads, commercial teams, and product teams to meet key performance indicators (KPIs) for each event.
  • Maintain effective communication with on-site staff and key stakeholders throughout the event planning and execution process.


Skills & Experience needed:

  • Proficiency in event registration systems, particularly Cvent, is desirable.
  • Familiarity with event apps.
  • Ability to work independently and collaboratively within a team setting.
  • Demonstrated administrative, organizational, and problem-solving skills.
  • 2+ years of experience in corporate event planning is required.
  • Strong interpersonal skills with excellent oral and written communication abilities.
  • Bachelor’s degree is preferred.
  • Minimal travel may be required.
  • Capable of managing multiple events in a fast-paced environment.
