We are in search of an Operations Specialist! The Operations Specialist is responsible for opening new accounts for clients, processing transfer documents, and completing status calls with other custodians. This individual also works closely with the agent groups outside of the company, clients, internally, and in conjunction with operational responsibilities, all team members take inbound customer calls during blocked call times to ensure our clients receive excellent client service from their first point of contact. Operations Specialists must be upbeat and enjoy helping both internal and external customers. Client satisfaction is vital to maintaining our company growth and longevity. This individual also needs to have comprehension of company policy and procedures, trust documentation, and fee schedules. Ideal candidates will have strong customer service experience and love working in fast-paced environments.

What you’ll do:


  • Verify whether agent is in good standing
  • Answer calls during scheduled call times
  • Follow-up with Client/Agent for missing/incomplete Items
  • Notate all appropriate systems
  • Add Client, Beneficiaries, New agent profiles to system
  • Upload documentation to internal database
  • Pick up, open, separate, and prioritize mail
  • Notify client of transfer status
  • Process LAAF and Power of Attorney documents
  • Upload documentation to internal database
  • Create Letter of Acceptance and/or Attestation Letter
  • Send transfer requests via fedex/email/fax
  • Review releasing custodian statement and verify signed transfer documents
  • Update tracking spreadsheet
  • Obtain custodial signature from approved signer and medallion stamp (if required)
  • Assign mail to appropriate team members for processing
  • Sort, scan and log all mail
  • Send Welcome Letter to client
  • Follow-up with releasing custodians on status of unfunded transfers
  • Review and Verify applications
  • Complete a compliance risk assessment on applicant
  • Open account in system for all account types
  • Update beneficiaries
  • Complete new account reviews
  • Update contact information


What You'll Need


  • Experience working with Retirement Accounts (IRA's, 401ks, Self-Directed IRA, Pension)
  • A willingness to roll-up your sleeves and get work done
  • Strong time management skills
  • A minimum of 4 years in customer service focused roles
  • Excellent written and oral communication skills
  • A passion for working with customers and providing excellent customer service
  • Comfort and experience being in an innovative start-up environment

  • Accuracy in all data entry
  • Ability to create world-class customer service experiences for all stakeholders
