Job Description
Organizational Relationship
Reports to the General Manager and interacts with customers.
General Responsibilities/Job Summary
The ideal candidate will have a great attitude and be a quick study. This person should possess strong oral and written communication skills. Basic computer knowledge including Word/Excel, basic accounting knowledge, and the flexibility to work in both office and warehouse environments. In this position you will work with sales and service representatives along with their customers. You will answer phones, work with inventory, match invoices, pull orders, and any misc. office and/or light warehouse functions.
Major Specific Job Responsibilities
A successful candidate will:
  • Process customer stock orders for deliver and invoice tickets as needed
  • Process daily receipts of cash and checks/ call customers that are in arrears with payments
  • Receive and validate all incoming shipments from our supplier network to verify accuracy
  • Answer incoming phone calls from customers and sales staff
  • Re-order and restock warehouse shelves --- manage a substantial inventory
Analyze ESR each day:
  • Check for lost sales. Check popularity of lost sale parts/items
If popular, be sure that days’ supply in system is correct - note trends
If no previous demand -- check Inv. Mgmt Guide/buying guide
Particularly note issues with individual products and or line
  • A lost sale is not always a reason to stock a part. If the part is not going to fit a normal stocking model, it will be a poor investment 50%+ of the time.
  • List all customers that were expected to have orders vs. accounts with actual orders. Resolve “no order” situations that morning
Pricing/Margin Management:
  • When ESR indicates a margin deficiency on a line/part, address that issue promptly. (preferable not with a price exception).
  • When a line price increase is announced, set it up to be effective no later than 30 days (or sooner) of the change date. Notify affected accounts properly.
  • Manage prices carefully in order to achieve the 38%-41% average margins we need to report satisfactory net income levels.
Expense Management:
  • Any significant expense should be considered carefully. Estimates/bids should be obtained for major vehicles repairs, computer work, building needs.
  • Make every effort to avoid overtime. If “things are slow,” offer option of time off to hourly employees.
  • Keep in mind the hidden costs of more employees. Social security, unemployment taxes, insurance, 401 (K), payroll company costs, vehicles etc.
Management Style at Mighty:
  • Provide a positive work environment. People under undue stress don’t perform well.
  • Successful Mighty franchises are hands on operations managed by owners/managers that live the business. This includes sales calls, new business development, inventory management, A/R etc.
Accounts Receivable Management:
  • Customers should not be on open account status if they do not pay their statement by the end of the month. At most one more weekly order, then COD until they resolve their payment issues. Past due services charges need to be assessed.
Inventory Management:
  • Popular “New Number Update” parts need to be available for our sales reps to sell.
  • Annual returns should be confined to parts that cannot be expected to sell in the next 2 years or more. Not new parts or small overstocks. Handling charges eat up our inventory reserves.
  • Cycle counts should be a routine to improve service levels and accuracy.
  • Quantity buys for discounts must provide a significant increase of return on investment. For example: a 2 month supply for a 5% discount is significant.
  • We operate with a practical and manageable level of inventory. While varying levels of inventory will occur, HQ expects rational and predictable variances and levels. Total inventory investments should not exceed 2 times monthly net sales volume.
  • Annual returns to vendors are best accomplished as early as possible in the year. There is no reason to continue to invest in “dead parts” for many more months.
