OPERATIONS MANAGER

Job Summary
To help maintain and grow the standard of success through the efficiency of operational organization, we’re seeking an Operations Manager to assist with daily activities for multiple departments, including IT, Facilities, HR, Communications, Kentucky programs, and Legal. This will require compiling information from various sources to address organizational needs and any concerns or issues. The Operations Manager may be required to assist with interpretation of data as well as analyze training needs and requirements.
The Operations Manager will assist with operational process development, improvement, and implementation of procedures and policies. This position reports to the Deputy COO.
This individual will track organizational goals in Salesforce and will reach out to departments/managers as needed when information is missing or not discernable.
The Operations Manager will gather and track information in relation to yearly surveys, audits, and renewals, specifically: Neighborworks, Aeris, insurance renewals, annual business continuity review, plus other surveys/audits/renewals as identified presently or in the future.
This individual will have excellent interpersonal communication and organizing skills, has the ability to communicate with others effectively, conduct research for special projects, respond timely to inquiries, and has the ability to work with details and time-sensitive issues. This position will collaborate with other back-office team members to ensure seamless business execution, reinforce positive morale, and uphold company values.
A creative leader who can adapt to change in a fast-paced working environment is desired. This individual will problem solve, but also advise and elevate items to the Deputy COO as required and/or needed. This position will work with Fahe finance as needed for budgetary purposes as well as Fahe compliance for any compliance needs or requirements.

Daily, timely response to assigned tasks, connected chatter, and colleague interaction requested via Salesforce.
Other interactions, as prioritized by the Executive Leadership of the organization.

Essential Duties And Functions
- Tracks and collects information for surveys and audits. Maintains strict confidentiality of employee and all HR related information.
- All staff members must support and be respectful of our mission and the people we serve.
- Maintains effective relationships with existing partners and vendors. Works with different departments across Fahe for implementation and evaluation purposes.
- Works with the communication department for internal communication needs and structure.
- Works closely with finance to ensure reporting accuracy, invoice accuracy, projections, and any items needed for audit purposes. Works with finance and other departments as needed for budget evaluation, invoice processing, vendor set up, and compliance.
- Assists with analysis of budget goals, dollar output, and projected output. Looks for ways to improve output of dollars if departmental goals appear unattainable. Collaborates with Fahe staff to effectively further the goals of the department and organization.
- Provides a monthly expense report. Shows integrity and honesty with regards to expenses.
- Operational support to include assistance with reporting, process improvement, and risk management. Provides support and problem solving as needed. Will evaluate situations and bring those items to the attention of the Deputy COO. Evaluates workflow production in alignment with budget and processing goals and produces recommendations for change as needed. Evaluates effectiveness of systems for processing as well as data capturing and produces recommendations for change as needed.
- Handles confidential information with tact and discretion. Works with Fahe finance and compliance departments as needed.
- Educates themselves with all Fahe departments and programs to obtain a thorough knowledge of the organization.
- Represents Fahe in the most positive manner with prospective, former and current Members, clients, suppliers and the community we serve. Interacts effectively with a diverse group of staff and customers of our services.
- Monitors Salesforce input for organizational goal tracking. Performs other functions as necessary or as assigned.

Requirements For This Position Include
- Time and organizational management skills.
- Experience with CRM management, preferably Salesforce.
- Experience with surveys, audits, and compliance items.
- Experience working with a team.
- Experience with project management.
- Education: Bachelor’s Degree. Extensive experience in Operations Management/Leadership Experience can substitute for education.
- Experience: Experience working with a team of individuals in a scenario where goals and deadlines must be achieved. Experience and skill at building relationships, working with others, and cultivating collaboration with a diverse group of people. Experience with large- and small-scale organizational initiatives.
- Desired - Previous work with a non-profit or community engagement organization. 4-6 Years’ experience in a related field.
- Supervisory experience a plus.
