Job Description
Position Description: The Operations Coordinator is a newly created position that will have a direct impact on the day-to-day operations of La Aurora USA. This Operations Coordinator will report to the Director of Operations. This person will be responsible for supporting the overall operations of the company from customer service and order management to the delivery of goods and materials to support sales and marketing in the execution of the business.
This role will be responsible for many clerical tasks to ensure the staff can communicate and work efficiently.
This position will be based out of Miami, Florida, specifically at the to-be-built office in Coral Gables.
Position Responsibilities: Job Responsibilities include, but are not limited to, the following:
Record daily supplier invoices for payment
Create Purchase orders for goods and services
Manage Petty Cash
Complete the receiving process for purchase orders in SAP
Answers phone calls, schedules meetings, and supports visitors.
Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
Communicates with 3PL and order fulfillment, and periodically reconciles inventories
Communicates with the LASA Factory in terms of scheduling shipments, customs paperwork, and deliveries to 3PL. Also, communicates with LASA finance and share services as needed.
Support with salesforce and customer/retailer base to ensure order accuracy is maintained, fulfill special orders, and manage customer inquiries
Facilitating cross-channel feedback from customers and employees to management and executive teams
Working with team leaders, managers, and department heads to learn departmental needs and goals
Ensuring that all activities conform to local, federal, industry, and company standards
Observing, reviewing, and analyzing processes to identify inefficiencies and areas where improvements could be made
Designing and maintaining clear operational guides to ensure consistency of operations
Delivering reports to department heads, management teams, and boards of directors to provide insight into the overall efficiency of the organization
Collaborating with management and executives to set departmental and organization-wide goals Knowledge, Skills and Abilities: Qualifications: -
Minimum of twelve (2) years of operations management, preferably in the premium cigar category.
Excellent interpersonal skills to build strong relationships with colleagues.
Demonstrate the ability of problem-solving & creativity.
Strong computer skills with Word, Excel, and PowerPoint; preference is given to candidates with experience with SAP and/or Salesforce CRM.
Effectively present information and respond to questions from groups of managers, clients, and the public.
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Fluency or a high level of proficiency in the Spanish language is a plus.
Good time management, prioritization, and multitasking abilities Methodical about analyzing processes and systems to fully understand their functions.
Proactive research skills are used in seeking out opportunities to advance and improve the organization.
Strong project management skills.
Collaboration and teamwork skills.
Leadership skills, like motivation, goal-setting, and monitoring progress.
