East Brown Cow

Portland, Maine

East Brown Cow, an established Real Estate investment, development and management company is seeking a full-time Operations and Asset Administrator to join their team working in the Portland, Maine office.


Reporting to the COO and General Counsel, the Operations and Asset Administrator will provide support to the real estate and leasing business and will have oversight for the general office and HR functions.


The successful candidate will possess a positive attitude with high energy and an eagerness to be challenged within a variety of job functions.


Requirements of the Operations and Asset Administrator:

  • Degree preferred plus 5+ years' experience working in a busy office environment
  • Proficient with technology including MS Office (Word, Excel) as well as Adobe e-signature
  • Ability to interact with all levels of internal and external stakeholders
  • Experience with legal and/or paralegal skills, a plus
  • Administrative knowledge of Human Resources functions/office management
  • Intuitive nature and ability to take initiative on projects
  • Positive attitude with a high attention to detail
  • Excellent verbal and written communication skills
  • Experience within the real estate, property management or leasing industry preferred
  • High interpersonal skills

Responsibilities of the Operations and Asset Administrator:

  • Coordinate with property coordinators and maintenance technicians to insure property maintenance and tenant needs are addressed timely.
  • Human Resources Administration
  • Act as the main HR contact internally to EBC employees and liaison with payroll/finance to ensure changes are updated as needed.
  • Recruitment, hiring and on boarding of new staff.
  • Prepare lease forms/draft documents, renewals and letters of intent in collaboration with the COO/General Counsel.
  • Collaborate with Finance team for Maine Tax Seed Credit filing.
  • Assist with coordination of annual employee performance review process.
  • Assess and update employee handbook as needed.
  • Assist in evaluating job descriptions and alignment of job functions.
  • Manage the onboarding/offboarding tenant checklist and ensure all tenant insurance policies are up to date.
  • Negotiate lease terms with prospective or existing tenants in collaboration with COO/General Counsel.
  • Monitor on -going construction projects.
  • Identify employee and management training opportunities and assist with implementation.
  • Communicate and facilitate annual open enrollment process.
  • Tracking of leasing negotiations, expiration dates and updates/past due balances.
  • Manage audits and required compliance reporting.
  • Property Administration
  • Show existing space for rent to prospective tenants.
  • Attend internal real estate meetings and external meetings with brokers and tenants to create tasks lists and manage follow up action items.
  • Assistant with employee engagement, recognition and team building events.
  • Monitor on- going litigation in collaboration with the General Counsel.
  • Prepare and send out documents through Adobe e-signature.
  • Management of time and scheduling for phone coverage for office
  • Office Management
  • Managing inventory of office supplies, company logo merchandise and vendor contract review
  • Assist with planning external networking events
