HR Onboarding Program Manager
As an Onboarding Program Manager at Rakuten, you will be responsible for developing and supporting elements of recruiting and onboarding experiences during the candidate, pre-employee, and new hire journey (Day One). You will lead initiatives and efforts to build and deliver a best-in-class candidate experience and an employee journey from preboarding to offboarding.
You may develop or enhance the preboarding program by supporting virtual, in-person, and hybrid delivery. You will use technology, analytics, stellar communications, an employee-first-centric approach, outreach, and working cross-functional teams to offer elevated care and attention to detail for candidates, new hires, and employees. You will be the program manager that can work on diverse, complex programs by exercising independent judgment to identify the best solutions. You will work closely with a diverse team of professionals and cross-functionally with individual contributors and leaders who will help you bring the employee experience (preboarding, onboarding, offboarding) to life. They will work with you as you define your overall approach and help you escalate when necessary to ensure quality, feasibility, and on-time delivery on your deadlines.
Rakuten utilizes a team approach to hiring, onboarding, and offboarding. This critical role collaborates and works across Rakuten’s Talent Acquisition, HR Services, Global Talent Management and Inclusion, Global Total Rewards, People Experiences, IT, Benefits, Payroll, and HR Business Partners to build a team of talented individuals that will support a best-in-class employee experience.

KEY RESPONSIBILITIES
  • Build and maintain strong cross-functional partnerships across the COEs and businesses to establish an engaging end-to-end employee journey encompassing preboarding, onboarding and offboarding processes and stakeholders.
  • Lead and design creative onboarding content for interns, experienced professionals, executives, and M&A integration, delivering a best-in-class experience for in-person and remote Rakuten new hires (and white glove for executives). The process includes partnering with Talent Acquisition on job requisition management, Workday candidate processes, pre-boarding, and Day 1 experiences. Content may include recruiting experience, preboarding, Day 1, etc.
  • Stay abreast of current market or technology trends, and provide stakeholders guidance, consulting, and expertise.
  • Manage program lifecycle from strategy development to implementation that will support and expand the employee journey across multiple businesses and countries around, but not limited to, Candidate Experience, Employee Experience, Contingent Worker Experience, Intern Experience, Offboarding Experience, Event Programs, and Reporting & Analytics.
  • Partner with GTMI to update the onboarding roadmap for new hires with consistent engagements during the first year of employment.
  • Develop new methods and processes for improving Day 1 program operations, including recruiting, preboarding, IT setup, provisioning, etc.
  • Provide guidance and performance support to preboarding and Day 1 and work closely together with GTMI onboarding team members.
  • Align the employee experience to business needs and growth objectives, delivering an exceptional experience at scale and ensuring the new hire workforce is prepared for the roles.
  • Partner with HR Operations to ensure Rakuten new hires have all the resources for a successful Day 1 and beyond.
  • Help ensure alignment of program priorities with business strategies.
  • Partner with (GTMI) Global Talent Management & Inclusion to identify, implement, and support meaningful changes in both the content of orientation (Day 1) and the onboarding (OnboardU) process holistically.
  • Refresh and maintain new hire resources and information on the R-Space Onboarding Hub with information from GTMI, (GTR) Global Total Rewards, People Experiences, Benefits, Payroll, Compliance, etc.
  • Identify KPIs to measure new hire success, including total reward audits, tracking/mitigation status, data accuracy to job profile/codes, etc.
  • Standardize, optimize, and automate.
  • Serve as the main point of contact for preboarding and Day 1 for all new hires.
  • Facilitation of onboarding sessions in person and virtually.

QUALIFICATIONS

  • Bachelor's degree in Human Resource Management, Business Administration, or a related degree.
  • Strong work ethic and ability to simultaneously manage multiple tasks and meet deadlines.

  • Takes personal responsibility for the quality and timeliness of work; achieves results with little oversight.
  • Strong analytical, organizational, and problem-solving skills.

  • Ability and desire to be a "stra-tactical" player/coach who can build the plan from 60k feet and lead team to operational excellence.

  • This position will require the ability to host/co-host Day One and New Hire training classes on a regular basis.
  • Strong stand up training, facilitation/presentation skills demonstrated.
  • 5 years of working experience as an HR Onboarding Manager, HR Onboarding Specialist, or a similar role in the HR department.

  • Demonstrated ability to work at a fast pace in a multitasking environment and be flexible to ramp up or change directions as needed.
  • Experience working with remote teams.

At the time of posting, Rakuten expects the base salary for this role will be between $100,000-135,000. Individual compensation will vary based on job-related factors, including the skills, qualifications, and experience of the successful candidate as well as business need and geographic location. The successful applicant for this role will be eligible for discretionary bonus, health, vision, dental insurance, 401k matching, PTO, Volunteer Time Off (VTO), and other employee benefits as the company implements.
