Job Description
Job Summary: We are seeking a highly organized and detail-oriented Office Manager to oversee the administrative operations of our mobile X-ray company. As the Office Manager, you will play a crucial role in maintaining smooth day-to-day operations, coordinating schedules, managing paperwork, and ensuring excellent customer service. This position requires strong leadership skills, exceptional organizational abilities, and a keen eye for detail.


Responsibilities:
  • Team Leadership and Supervision:
  • Collaborate with the finance department to reconcile accounts, track expenses, and prepare financial reports.
  • Billing and Financial Management:
  • Oversee all administrative tasks, including document management, record-keeping, and data entry.
  • Proactively seek feedback from customers and implement improvements to enhance service quality.
  • Resolve scheduling conflicts and accommodate urgent requests in a professional and efficient manner.
  • Coordinate billing activities, including generating invoices, processing payments, and following up on outstanding balances.
  • Respond to inquiries, resolve complaints, and address any issues or concerns promptly and professionally.
  • Conduct performance evaluations and address any performance-related issues.
  • Coordinate office activities and delegate tasks to administrative staff as needed.
  • Foster a positive and collaborative work environment that promotes teamwork and professional growth.
  • Manage office supplies and equipment, ensuring their availability and proper functioning.
  • Coordinate with the mobile X-ray team to ensure excellent patient care and satisfaction.
  • Provide exceptional customer service to clients, healthcare providers, and patients.
  • Customer Service:
  • Develop and implement efficient office procedures to optimize workflow and productivity.
  • Administrative Management:
  • Maintain accurate and up-to-date appointment records and reports.
  • Schedule X-ray appointments based on customer requests, medical orders, and availability of mobile X-ray units.
  • Maintain strict confidentiality of financial and patient information in accordance with relevant regulations and company policies.
  • Appointment Scheduling and Coordination:
  • Lead and manage a team of administrative staff, providing guidance, support, and training as necessary.
  • Communicate with healthcare facilities, physicians, and patients to coordinate appointment logistics and ensure timely service delivery.
