ASZ Caring Hearts Inc. is a provider of quality home care services in Oakland Park, Florida, and was established in December 2017. Since then, we have been committed to providing quality service to individuals with disabilities who are in need of home care assistance. Our passion to serve started with our founder. As a single parent raising twins with a developmental disability (Cerebral Palsy) and wheelchair-bound, the need for genuine care emanated and was highlighted even more. Hence, it is our lifelong duty to render only quality home care services that will guarantee and allow individuals to live the life they deserve.


Job Summary:


The Office Manager at ASZ Caring Hearts Inc. is a critical role dedicated to orchestrating office operations, supervising personnel, developing effective communication methods, simplifying administrative procedures, inventory control, and ensuring superior patient care.


Key Responsibilities:


Leadership and Team Management


  • Strive to expand the company’s reach and services in line with the company’s vision
  • Manage operations across multiple offices through regular visits and follow-ups
  • Ensure all office tasks are completed on time and implement DocuSign for efficient document handling
  • Ensure client and worker data are updated in the iConnect system
  • Manage the office calendar, schedule appointments, and coordinate staff shifts
  • Oversee Medicaid reviews at the start of each month and monitor service hours
  • Oversee in-office and field staff, ensuring adherence to company protocols and high-quality patient care
  • Engage in marketing efforts, including visiting doctors’ offices, hospitals, Assisted Living Facilities, and Home Health Aide schools, to promote our services and recruit potential workers
  • Conduct regular staff meetings to foster communication and collaboration


Compliance and Record Keeping


  • Regularly update worker’s training requirements like HIPAA, Direct Care, HIV 101, Zero Tolerance
  • Maintain meticulous client and staff files in compliance with healthcare regulations
  • Ensure Plan of Care/Support plans are updated regularly
  • Ensure office-wide adherence to healthcare regulations and standards


Client and Insurance Liaison


  • Engage in regular interaction with clients in the field, addressing any complaints promptly
  • Liaise with insurance companies for client acquisition and partnership opportunities


Requirements


Job Requirements:


  • Prior experience as a Patient Care Technician (PCT) is beneficial
  • Must have familiarity with Microsoft Office applications
  • Prior work in healthcare or home care is a bonus
  • Excellent communication skills, with an ability to converse with diverse individuals including parents, doctors, and assisted living facilities
  • Comfort and empathy in working with individuals with developmental disabilities and elderly individuals
  • Completion of a Level 2 background check as required by the state of Florida (AHCA - Agency for Healthcare Administration eligible)
  • A minimum of 2 years in a management role is essential
  • Proven problem-solving skills and a proactive approach to tasks and projects
  • High School Diploma is required. A Bachelor's degree is an added advantage
  • Bilingual proficiency in English and Spanish is preferred. Candidates should be able to read, write, and speak in Spanish and English
  • Must acquire Home Health Aide Certification within 60 days of employment
