Our client is a family friendly financial services provider located in Eden Prairie, MN that focuses on exceptional customer service is looking to fill the key role of Office Manager/Executive Assistant. This position is instrumental to the operation of the firm.
- Manage the front desk and ensure a professional and welcoming environment
- Create new customer files ensuring all documents relating to account type are properly filled out and included in hard copy and electronic files, with an easy to find system
- Organize events for marketing and customer appreciation purposes
- Oversee the daily operations of a financial services office, including customer scheduling, and record management
- Execute any additional tasks that are assigned
- Enter all customer communication and account changes in the database
- Manage calendars and schedule appoints for staff members
- Design and distribute firm's monthly newsletter
- Answer phone calls and emails, providing excellent phone etiquette and customer service
- Assist customers with process of financial transfers and withdrawls
- Maintain and organize files, both physical and electronic
- Experience with records management
- Willingness to go above and beyond to provide over the top customer service
- Above average communication skills, both written and verbal
- Ability to multitask and strong attention to detail
- Proven knowledge of office practices and procedures
- Preference will be provided to those with past experience in a financial services office
- Event and meeting planning experience is preferred
- An outgoing, bubbly and friendly personality
- Excellent organizational and time management skills
