Overview
The Medical Staff Services Coordinator is responsible for coordination and preparation of medical staff functions. The incumbent performs bookkeeping activities for the medical staff, prepares for committee meetings, and processes and distributes appropriate correspondence.

Minimum of 2 years of previous administrative support experience required, preferably in a medical staff office environment. An Associate’s degree or higher may be substituted for the required experience

The Medical Staff Services Coordinator is responsible for coordination and preparation of medical staff functions. The incumbent performs bookkeeping activities for the medical staff, prepares for committee meetings, and processes and distributes appropriate correspondence.
Responsibilities
- Coordinates medical staff events such as medical staff awards ceremony, doctors’ day planning, etc., in collaboration with the Manager, Medical Staff Services.
- Handles department budgetary matters and provides periodic updates to the Manager, Medical Staff Services and Director, Quality, Patient Safety & Professional Affairs (QPSPA) regarding invoice and reimbursement processing.
- Ensures efficient and effective systems of handling Medical Staff Services administrative and clerical functions.
- Recommends and initiates ideas for process improvement of Medic al Staff Services administrative and clerical functions and processes.
- Enrolls new medical staff members and trainees in the Chesapeake Regional Information System for our Patients (CRISP) for e-prescribing as needed.
- Conducts sanction queries and generates mandatory quarterly reports for managed care delegated credentialing contract requirements.
- Handles appropriate correspondence for specific administrative and medical staff committees in conjunction with the responsible administrative or medical staff committee chairpersons, including agenda planning, taking minutes, preparing minutes, tracking attendance, and completing follow-up after meeting is concluded. Provides committee secretary with draft of minutes for review within ten days following each meeting.
- Provides schedule coordination for the Associate Chief Medical Officer (ACMO). As needed for the Director, QPSPA, and Manager, Medical Staff Services.
- Registers Medical Staff Leadership for participation in educational conferences as needed.
- Acts as point of contact for all matters associated with medical staff services. Troubleshoots and resolves problems and issues as they arise, or consults and/or collaborates with appropriate staff.
- Handles routine office management, including telephone/mail correspondence and maintenance of adequate office supplies and equipment.
EDUCATION:
- High school diploma or GED required.
- Previous educational or work experience in Medical Terminology preferred.
