Job Description

Pay Grade/Pay Range: Based on Qualifications

Department/Organization: 208431 - UMC Medical Records

Normal Work Schedule: 8:00AM to 4:45PM, Monday-Friday, limited nights/weekends

Job Summary: The Medical Records Clerk is responsible for assisting in the maintenance of an efficient and accurate medical clinic records system that ensures that health care providers have medical records that are readily accessible, complete, accurate, and retrieved in a timely manner. Typical duties may include: collection, processing, storage, retrieval, posting, scanning, assigning, or distribution of medical records; registering patients; reviewing medical information for completeness; assisting physicians, patients, parents and visitors; data entry for billing and coding; answering and routing phone calls; handle request for copies of medical records; sorting and delivering mail.

Additional Department Summary: The Medical Records Clerk processes records requests and assists with organization and maintenance of medical clinic records for the College of Community Health Sciences (CCHS). Processes all requests for walk-ins, (patients, law enforcement, etc.), and all requests received by computer and telephone. Prioritizes each request and processes all STAT requests immediately. Assists with urgent requests for protected health information to ensure continuity of patient care.

Assists with a variety of administrative duties - updates and files records, scans/faxes documents, distributes mail, answers and directs calls, greets and directs visitors to Medical Records department - physicians, residents, patients, nurses, clerical staff, and others.

Required Minimum Qualifications: High school diploma or GED and one (1) year of medical office experience.

Skills and Knowledge: Working knowledge of Alabama law and health records, and HIPAA rules and regulations governing release of information and knowledge of medical terminology.

Ability to cope with stressful conditions. Ability to demonstrate tact, versatility, and adaptability. Ability to demonstrate a high degree of self-motivation and directional initiative. Working knowledge of standard office software applications, including Microsoft Office. Skill in exercising initiative, judgment, problem-solving, and decision-making. Skill in organizing work to achieve department goals and objectives.

Excellent communication public relations, customer service and telephone etiquette skills. Ability to multi-task in a fast-paced work environment. Ability to maintain strict confidentiality of protected information and the requirement to follow HIPPA regulations at all times.

Preferred Qualifications: Previous experience working with medical records and electronic health record systems preferred.
