Purchasing Coordinator - On-Site, Milwaukee Store
Job Responsibilities
Responsibilities of this role include procuring materials, equipment, services, and supplies for the organization while considering cost, quality, and production time constraints. Additional tasks involve handling email inquiries, verifying and inputting information, monitoring purchase orders until fulfillment, facilitating interactions with suppliers, and completing internal project management assignments.This position requires excellent prioritization skills as the demands can change frequently.The ability to adapt to a high-pressure environment is crucial as priorities may change frequently due to project demands.

Job Responsibilities
Oversee all aspects of Purchasing, including but not limited to:
  • Collaborating with the accounting department to streamline vendor procurement and payment processes.
  • Ensuring an adequate number of vendor alternatives within the supply chain.
  • Generating purchase orders to vendors and monitoring their status to ensure timely delivery.
  • Reviewing the initial request
  • Creating and maintaining Item Masters for recurring purchases, as needed.
  • Receiving and reviewing Purchase Requisitions from in-house technicians, field service technicians, engineers, and all otheremployees.
  • Proactively identifying and achieving cost reductions with our supply base.
  • Preparing status report(s), as required.
  • Procuring all goods and services required by the Company for daily operations, such as raw materials,specialized tooling, supplies for the shop and administrative purposes, and various services.
  • Entering purchase orders into the System (e.g., Great Plains)
  • Identifying and assisting in implementing improvements to the Purchasing process while adhering to "best practices" andinternal controls.
  • Tracking supplier responses for consistent and timely communication.
  • Researching availability and sources of supply for specialty items.
  • Establishing new vendor accounts and negotiating optimal pricing, payment terms, and contracts.
  • Ensuring proper completion of purchasing documents.
  • Purchasing necessary products and services, which includes the following steps:
  • Resolving invoice discrepancies and approving payments.
  • Responding to requests with acknowledgment and providing delivery timeline expectations.
  • Serving as the primary point of contact for our extensive and specialized vendor base, developing an understanding of their capabilities and nurturing vendor relationships.
  • Providing timely updates to relevant internal personnel.
Educational Requirements
  • High school diploma or GED, mandatory
  • 2-year associate degree, preferred
Experience & Skills
This position requires three to five years of progressively responsible experience in a related field. Specifically, the role necessitates:
  • Ability to thrive in a fast-paced, customer service-oriented environment.
  • Experience with Microsoft Windows software (e.g., Word, Excel, PowerPoint, etc.).
  • Experience with Microsoft Great Plains Dynamics is a plus.
  • Preferred training and/or experience in project management.
  • Exceptional interpersonal communication skills.
  • Proficiency in reviewing and interpreting mechanical drawings.
  • General knowledge of accounting principles and procedures as they relate to purchasing functions.
  • Experience in purchasing materials or services for a manufacturing or technical services company.
  • Willingness and ability to work with and become acquainted with a specialized supply base in a technical industry.
Language Skills
Ability to read and comprehend documents such as safety rules, production schedules, purchase orders, maintenance instructions, and procedure manuals. Proficiency in writing reports, procedure manuals, and correspondence. Effective communication with customers, vendors, and colleagues.
Mathematical Skills
Ability to work with mathematical concepts such as probability, statistical inference, plane and solid geometry, and trigonometry. Application of concepts like fractions, percentages, ratios, and proportions in practical situations.
Reasoning Ability
Capacity to solve practical problems and handle various concrete variables in situations where a wide range of applications require individual solutions. Interpretation of a combination of written, verbal, diagrammatic, or scheduled specifications and information.

Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. These include forklift traffic, overhead cranes, machining, welding, movement of mechanical parts, and moderate noise. The majority of the work is conducted indoors in a shop and office environment. A minimal amount of time may be spent outdoors in hot, cold, or inclement weather during part of the workweek.
