Job Description

JOB SUMMARY:

The Manager of Promotions and Special Events (MPSE) is responsible for creating, scheduling, managing and implementing exemplary events -- which include all signature events, promotions and daily activities. The MPSE is to develop Zoo events in coordination with respective departments with the goal of increasing guest satisfaction and educating the community to all that encompasses our mission. Additionally, the MPSE is to coordinate all aspects of Zoo facility rentals and group sales, thus having a direct impact on the development and growth of the Zoo’s earned revenues. This position consists of a 40-hour, five-day work week that requires being scheduled on weekends (two days off midweek). Lehigh Valley Zoological Society in a non-profit founded in 2004 with a mission to connect its community with nature to empower people to protect wildlife.

MAIN DUTIES AND RESPONSIBILITIES

  • Create and maintain individual profit & loss sheets to evaluate with Director of Sales and Marketing and track success of each event
  • Be familiar with the Zoo’s Mission Statement for accomplishments and future goals
  • Ensure that all guest inquiries and business-related calls are being handled in a timely, professional, enthusiastic and polite manner.
  • Obtain all essential materials, decorations, vendors, etc., to ensure event success
  • Be able to successfully handle on-site guest and staff relations compliments or criticism relating to the guest/client experience
  • Produce budget requests for promotions and special events for review with Director of Sales and Marketing and manage finances within approved budget
  • Provide guided tours of the facility to potential clients
  • Provide assistance to Volunteers and Events Coordinator and Marketing Assistant with what is required for promotions, special events and rentals
  • Collaborate with Guest Services and Maintenance Departments to help schedule staffing, construct and decorate for events, as needed
  • Evaluate the yearly schedule and research daily, weekly and monthly attendance trends to ensure that guest traffic is maximized each day
  • Work with marketing team for all collateral, signage and décor needs for successful marketing of promotions and events
  • Review and finalize all rental contracts
  • Collaborate Zoo schedule and manage the creation and publication of daily gate sheets
  • Conduct middle management meetings to coordinate departmental involvement in various events and activities
  • Other duties as assigned
  • Field requests for rental information and work with patrons to finalize reservations
  • Create and maintain an exciting and positive work environment for fellow employees, Zoo visitors, vendors, clients and their guests.
  • Research and develop creative ideas for the implementation or enhancement of daily activities, promotions and special events

QUALIFICATIONS AND EXPERIENCE

  • Associate Degree in related field Preferred
  • Ability to work weekends (April-December)
  • Adjusting working hours to accommodate attendance at signature events, special promotions and Winter Light Spectacular; all which require some availability on weekends, holidays and evenings
  • High School Diploma with a minimum of 2 years of related work experience

Job Type: Full-time

Pay: $14.00 - $16.00 per hour
