Job Summary/Basic Function:
Primary purpose of this position is to provide leadership, oversight, consultation services and guidance to academic departments for the campus-wide comprehensive academic course scheduling process. Position provides management and oversight for the university’s academic class scheduling process, including creating and enforcing university class scheduling policy and process; implementing operational procedures; providing leadership, training, support and consultation to academic department schedulers and chairs; managing systems to create a comprehensive academic class schedule; serve as liaison to Provost’s Office, Office of Information Technology and CollegeNET regarding course scheduling and classroom utilization; and manage the classroom scheduling software. This position is on-call for building emergencies, where classroom space is impacted; requiring evening and weekend hours.
Department Overview:
The Office of the Registrar is the hub of the University. We provide assistance with transcripts, registration and course scheduling, transfer credit and graduation evaluation, determination of Idaho residency for tuition, and catalog information.
Level Scope:
Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.
Essential Functions:
40% of Time the Manager of Academic Class Scheduling Must:
  • Facilitate collaborative working relationships with academic departments to manage increased innovation in scheduling (combined sections, multiple meeting patterns, split instruction modes, etc.)
  • Build, monitor and maintain the class schedule development calendar.
  • Serve as primary liaison with the Provost’s Office to provide clear messaging to academic departments regarding expected capacity and distributed course instruction mode in semesterly offerings.
  • Develop, implement and review department and university-wide policies and procedures related to course scheduling.
  • Serve as primary liaison to CollegeNET.
  • Coordinate university-wide to ensure a comprehensive academic course schedule for students.
  • Participate on University-wide committees where course scheduling and space utilization are central.
  • Provide leadership, consultation services and university guidance for development of academic course schedules.
  • Establish operational objectives and area priorities on a yearly basis.
  • Create, maintain and deliver initial and ongoing training for department schedulers and Registrar staff. This includes increasing individual consultations to meet academic department need. Ensure proper training for compliance with the standard schedule and Policy 4160.
  • Serve as primary liaison to the Office of Information Technology regarding the online class scheduling tool in PeopleSoft, enhancements and production support.
20% of Time the Manager of Academic Class Scheduling Must:
  • Troubleshoot issues with space availability.
  • Review and update scheduling content on the Registrar’s web page. Monitor daily production schedule to make sure academic departments and scheduling staff meet publication and distribution deadlines.
  • Collaborate with academic departments when courses are not able to be placed at preferred time or location.
  • Focus on production and publication of the fall and spring schedule of classes.
  • Primary oversight for running space optimization process in 25LivePro (includes setting up cabinets, creating constraints and ensuring term calendar dates are accurate) to assign space.
  • Coordinate the assignment of general-purpose classroom space in phase one and all space during phase two of the development of the schedule of classes. Possess and apply comprehensive knowledge of standard meeting policy for departmental dedicated room use vs. general purpose room use.
  • Work closely with the Catalog/Curriculum team and Division of Extended Studies to consult on the set up of courses and class sections under the Administration of the Registrar’s Office.
  • Collaborate with the Associate Registrar on placement of large capacity classes.
  • Maintain regular communications with academic schedulers and Department Chairs during the course schedule development process.
  • Provide expert consultation to academic departments regarding university best practice in course set up.
  • Manage the class scheduling process as outlined in BSU Policy 4160. Includes enforcement of Policy 4160 with academic departments.
  • Provide consultation to Extended Studies and all academic schedulers during the schedule development process.
  • Create, manage and disperse calendar of deadlines for the development of the schedule of classes. Plan and oversee preparations for each phase of the production of schedule of classes.
20% of Time the Manager of Academic Class Scheduling Must:
  • Manage scheduling software - collaborate with Associate Registrar 1) on functional support related to scheduling software; 2) provide functional support related to report development for classroom utilization; 3) maintenance of the Online Class Scheduling Tool in Campus Solutions; and 4) maintenance of 25LivePro (CollegeNET web-based software for room scheduling).
  • Support/review security access requests from departments for the online class scheduling tool.
  • Coordinate and manage testing of software for patches and upgrades.
  • Develop, manage and assign the functional security rights for users in the scheduling software.
  • Regularly review class/room data and utilization. Analyze data, prepare and present reports on space and seat utilization.
  • Provide forecasting reports on space needs (new space and updating existing space) when requested.
  • Train to maintain expertise in data set up and retrieval from 25LivePro.
  • Participate in ongoing professional development and training on enhancements in 25LivePro.
15% of Time the Manager of Academic Class Scheduling Must:
  • Practice effective conflict resolution in managing complaints or grievances.
  • Ensure competency of staff through ongoing performance evaluations.
  • Provide regular feedback.
  • Provide daily supervision and leadership for staff.
  • Recruit, hire, train and manage staff.
5% of Time the Manager of Academic Class Scheduling Must:
  • Volunteer for university events such as Commencement, Bronco Day, Bronco Welcome, etc.
  • Perform other duties as necessary.
  • Respond to building emergencies.
  • Support end-of-term processing as needed.
  • Provide student and university support during registration processes.
  • Troubleshoot course set-up issues (in collaboration with Catalog and Curriculum team) during registration cycles.
  • Troubleshoot registration issues in student computer labs for orientation.

  • Demonstrated ability to compile and organize data to derive meaningful insights, including the ability to communicate clearly verbally and in written, numerical, and graphical forms.
  • Strong customer service orientation and ability to represent end-user needs.
Minimum Qualifications:
Bachelor’s Degree and 2 years of professional experience or equivalent relevant experience.
Preferred Qualifications:
  • Experience with data analytics.
  • Bachelor's Degree and 4 years minimum experience OR Master's Degree.
  • Higher education experience is preferred with at least 1 year of work experience with academic scheduling.
  • Experience leading teams and developing and implementing strategic plans.
