Manager, Customer & External Events


This is a Foster City, CA based position

The Manager, Customer & External Events will support the assigned Gilead Sciences product/brand or functional teams in developing, delivering, and managing the various advisory board strategies, plans, logistics, tactics, and resources. These teams may include relevant partners/stakeholders in the U.S. Commercial, Medical Affairs and Global Commercial Organizations and potentially other Gilead Sciences groups. This role provides oversight on end-to-end customer experiences for advisory boards & external meetings.


Essential Duties And Responsibilities


  • Provide guidance to less experienced team members, vendors and manage third party staff to ensure work is aligned with meeting plans and objectives.
  • Independently manage all aspects of event development and execution, including but not limited to overall project management, vendor & agency management, executive communication, approval on key aspects of the meeting or event, leadership of cross functional steering committees, share best practices and develop best-in-class meeting strategies to support business objectives, drive decisions and action
  • Manage without authority, leadership, and oversight of customer meetings to ensure consistency and continuity across the organization
  • Collaborate with internal partners (primarily marketing and medical leads), stakeholders, and external partners to develop an in-depth understanding of their business needs and objectives and execute their vision
  • Organize and coordinate advisory board meetings and customer meetings, whether directly managed or managing these activities through internal/external partners and content agencies. Provide onsite management and oversight for applicable meetings
  • Establish (or refresh) procedures for key activities to improve overall efficiencies, streamline execution and measure effectiveness
  • Manage budget and resource allocation for assigned advisory boards/meetings. Responsible for goals and objectives meeting high-standards and within budget. Ensure the most cost-efficient and effective resources are deployed to avoid redundancies in work efforts
  • Accountable for strategic multi-year planning, budget management and optimization, vendor management, and collaboration and partnership with Marketing, Sales, CL&D, PRC, Medical, Business Conduct, peers within the Meeting & Events Department, and other internal and external partners
  • Ensure all customer meeting activities are fully compliant with governing laws, regulations, as well as Gilead policies and procedures
  • Evaluate vendor services according to industry standards and stakeholder requirements and communicate and gain buy-in on recommendations, negotiate contracts to fulfill project and business needs, while optimizing budget, significant expectation setting and vendor management responsibilities

  • Extensive understanding and application of meeting planning principles, concepts, practices, and industry standards.
  • Proven ability in setting M&E strategy, attendee engagement and pre/post meeting metrics
  • Experience working with C level executives
  • Demonstrate initiative: excellent task management skills including proactivity, planning, prioritization, objective setting, meeting management and plan
  • Experience partnering with marketing agencies, content agencies and other logistics vendors


Basic Qualifications


  • 4+ years’ experience with MS/MA or MBA
  • 6+ years’ experience with BS/BA
  • 1+ years’ experience with PhD


Preferred Qualifications


  • Experience taking leadership roles as assigned
  • Experience in biotech or pharmaceuticals industry
  • Demonstrated ability to manage and influence key stakeholders at the managerial level or higher
  • Ability to collaborate and communicate cross-functionally
  • Relevant Meeting & Event Industry Management
  • Ability to travel up to approximately 20%, domestically
  • Experience with Sunshine Act reporting and pharma customer guidelines
  • Experience with Pharma Compliance and Regulatory M&E Guidelines
  • Experience partnering with marketing agencies, exhibit house, and other vendors
  • CMP and/or CMM certification
  • Operations and project management experience


The salary range for this position is: $120,445.00 - $155,870.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
