Job Title" Management Assistant
Location: Huntsville, AL
Responsibilities May Include But Are Not Limited To
Canvas is seeking a Management Assistant. This position is located in Huntsville, AL.
: Management Assistant in support of Program Executive Office - Missiles and Space (PEO MS), Short and Intermediate Effectors for Layered Defense (SHIELD) Director of Business Management (BMD). Will serve as a Project Office management support team member to ensure smooth and efficient operation of the Business Management Directorate (i.e., Contracts, Cost Analysis, and Financial Management) through the management of action items, meetings, suspense files, and calendar de-confliction. Ensure staff work conforms to the mission, goals, and objectives set forth by the Project Manager (PM) & Deputy Project Manager (DPM), and Director of Business Management of a US Army Acquisition Project Office. Position is administrative with opportunities to expand responsibilities within the areas of Contracts Administration and/or Financial Management.
Prepare, consolidate, and submit a weekly Situational Awareness report to the Project Manager (PM). Schedule & de-conflict calendar items for Director of Business Management. Print out DPMs calendar nightly to prepare for the next day. Prepare travel authorizations for Directorate using Defense Travel System (DTS). Prepare travel vouchers for Directorate leadership. Keep acceptable use policy (AUP) forms for senior leadership. Help with any type of correspondence needs conforming to Department of Army Pamphlet (DA PAM) 25-50 PREPARING AND MANAGING CORRESPONDENCE. Help support PM SHIELD Front office when needed. Schedule & de-conflict meetings in the PEO MS conference room scheduler. Answer routine non-technical requests for information such as status of reports, suspense dates for matters requiring compliance and similar information. Help maintain the Management Assistants page on SharePoint with policies and correspondence. Experience with staffing packages in SharePoint using Workflows while tracking internal and external suspense. Experience using Adobe Acrobat PDF "create agreements" feature to manipulate documentation and present digital documents for Director use and/or signature.
Required Experience & Skills
  • Experience booking, approving, recording, processing expense and reimbursements using the Defense Travel System.
  • Desire high attention to detail, professional writing skills and advanced skills formatting correspondence using MS Word, applying AR 25-50, and applying the Army's Simplified Writing Style standards.
  • Skills using Microsoft Word, Excel, and SharePoint at an Intermediate to advanced level. Experience, understanding, and application of Army Regulation 25-50 Preparing and Managing Correspondence.
Education And Experience
  • Bachelor's degree and 7 years' experience, or Master's degree and 5 years' experience
Required Security Level: Must be able to obtain and maintain secret clearance.
