Role Objectives


The Logistics Coordinator (LC) plays a crucial role in ensuring the smooth import, order management, dispatch, and export of WEP Clinical Managed Programs. The primary objective of this role is to ensure compliance with customs, regulatory, and quality requirements in all logistics operations. The Logistics Coordinator acts as the central point of contact and subject matter expert for all aspects related to the program within the supply chain, working to streamline the distribution process. Additionally, the Logistics Coordinator oversees freight vendors to ensure timely and compliant delivery of temperature-controlled products to healthcare professionals/sites

What You'll Do:


Program set-up responsibilities:


  • Provide the project team with detailed and clear instructions regarding local shipment requirements.
  • Manage Depot Project Instructions (DPIs) and provide project-specific warehouse training, if required.
  • Share shipping process information and required documentation (invoices, certificates, etc.) with external vendors responsible for the shipment in advance.
  • Administer the Inventory Management System setup, including supplier, customer, product registration, document templates review, and shipping instructions.
  • Collaborate with external supply chain parties (3PLs, CMOs, in-country agents, etc.) for new programs, including sourcing quotes, operational set-up, and project kick-off activities.
  • Review the Drug Supply Plan and determine the most appropriate supply routes to HCPs and countries included in the program.


General and ongoing responsibilities


  • Review provided documentation for each shipment, request changes if necessary, confirm completeness, and provide approval for shipment.
  • Process sales orders, including administering the Inventory System, arranging freight shipments, handling proof of delivery (PoD), and temperature print-outs.
  • Assist in vendor management oversight, including performance reviews, reconciliation, and coordination of vendor payments if applicable.
  • Maintain and update supply chain documents within the electronic Quality Management System (eQMS).
  • Act as the main point of contact for shipment and customs issues, facilitating communication between the project team, warehouse operations, and external supply chain contractors.



What You'll Need:

  • Effective planning, organizational, and administrative skills.
  • Excellent teamwork and interpersonal skills.
  • Proactive and solutions-driven, with the ability to work to strict deadlines with a high level of accuracy.
  • Strong project management skills.
  • Proven track record in supply chain management, project management, or logistics within the life science field or pharmaceutical industry.
  • Ability to collaborate with cross-functional teams on new process projects, incident investigation, root cause identification, and process improvements.
  • Minimum of 3 years of combined experience in employment, education, knowledge, and skills relevant to proficiently performing the duties of the role.
  • Experience in managing global freight forwarders, specialty couriers, and external fulfillment sites.
  • Bachelor's Degree in operations management or a science-related field or equivalent.
  • Familiarity with Good Manufacturing Practices (GMP), Good Distribution Practices (GDP) standards and procedures, and International Air Transport Association (IATA) requirements.
