Job Description
Summary/Objective


The Administrative Assistant is responsible for carrying out general administration support activities, which entails working with the Client Services Manager and Laboratory Managers to ensure efficient processing of received samples, consumables and reporting of client data.


Duties


  • Proactively troubleshoot, propose solutions and/or seek request assistance when needed.
  • Coordinate bottle orders for clients and preparation for required bottles for water testing.
  • Reception: Review and confirm condition of received samples & supplies to ensure sample and product integrity.
  • Reporting: Produce, analyze, document and report results, achieving the highest quality data in a timely manner.
  • File and scan documents as needed.
  • Greet customers with positive and professional demeanor.
  • Maintain a clean and organized work area.
  • Professionally handle the pressure of aggressive deadlines while maintaining data quality.
  • Shipping of materials and products.
  • Data entry: Log projects in the Laboratory Information Management System (LIMS), state and federal databases.
  • Perform other administrative duties as assigned from time to time by the General Manager or Office Manager.
  • Follow all relevant SOP and Methods providing suggestions for updates and improvements as needed.
  • Answer multi-line IP phone system.


Education


High School graduate or GED.


Skills & Experience


  • Minimum 6-12 months' experience in an office or lab setting.
  • Prior experience using a multi-line phone system.
  • Flexibility to perform duties in other areas as needed.
  • Demonstrated organizational abilities and capable of successfully carrying out a variety of detailed tasks.
  • Must be 21 years of age.
  • Experience with Chain of Custody and invoicing.
  • Intermediate MS Office knowledge (especially Excel).
  • Background in chemistry and/or accounting are a major plus.


Supervisory Responsibility - This position has no supervisory responsibilities.


Work Environment & Physical Demands


This job operates in a typical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must be able to lift 20-30 pounds. Must be able to sit and or stand or long periods of time.


Position Type/Expected Hours of Work


This is a full-time position, and hours of work and days are generally Monday through Friday, 8:30 a.m. to 5 p.m.


Travel


Travel is not expected but may occasionally occur for educational/career development purposes.
