Position Summary:
Interwoven Community Counseling Center, a community mental health center located at The Chicago School of Professional Psychology, provides high-quality affordable mental health services to children, adults, and families. Interwoven is also home to The Forensic Center, one of Chicago’s most respected providers of forensic psychological services for legally involved persons.
The Intake Coordinator reports to the Client Support Manager and has duties which focus on the onboarding of new referrals seeking mental health services and performs a broad array of administrative duties, including front desk reception; appointment scheduling; data entry, tracking, and reporting; and assistance with insurance and self-pay billing. The Intake Coordinator is usually the first point of contact for persons interested in our services.
The Intake Coordinator will assist the Client Support Manager to integrate wrap-around case management services into the client’s treatment plan and will assist with coordination of cases with staff and referring community partners. The Intake Coordinator works closely with our referral partners to ensure the completion of registration materials and to obtain clinical and other important documents as part of the registration process.
Principle Duties:
  • Gathers prior treatment records from other providers through execution of consents to obtain private health information as part of the onboarding process.
  • Communication with new referrals, ongoing clients, and community partners via phone, email, and fax.
  • Tracks and documents outcomes and deliverables in a timely manner and maintains documentation in accordance with HIPPA and funding requirements
  • Performs other tasks as requested by the Client Support Manager and other staff.
  • Provides excellent customer service and follow-through with clients and community partners.
  • Documents work with clients through the electronic health record system and ensures completion of records in client charts.
  • Maintains a welcoming waiting room and greets incoming clients.
  • Works with transportation providers for client travel needs.
Essential Knowledge, Skills, and Abilities:
  • Must have strong organizational skills, attention to detail, and ability to complete tasks in a timely way.
  • Must have strong communication skills (verbal and written) in a professional setting.
  • Must be able to work as part of a coordinated team
  • Must be able to work independently and in a fast-paced environment
  • Must have experience with diverse populations
  • Must be able to multi-task at a high level
  • Must have thorough knowledge of computer skills for Microsoft Windows, Outlook, One Drive, Adobe, and the ability to master other software used by the Center.
Position Qualifications:
  • Minimum bachelor’s degree, preferably in social work, psychology, counseling, or other behavioral health field.
  • Preferred experience in a customer service and/or administrative role

This opportunity is budgeted at $20.00 - $22.00 per hour base compensation. Additional compensation factors may impact total compensation.
