Job Overview:

The IFM (Integrated Facilities Management) Zone Manager is a key leadership position responsible for overseeing all aspects of integrated facilities management within their designated zone of the district. This role reports to the Account Director and requires knowledge of soft services such as custodial operations, grounds maintenance, and general maintenance. Effective vendor management is also a critical component of this role.

Pay: $87K-$105K

The pay listed is the salary range for this position. Any specific offer will vary based on the successful applicant’s education, experience, skills, abilities, geographic location, and alignment with market data.

Key Responsibilities:

  • Soft Services Oversight: Provide leadership and guidance to the custodial team to maintain high standards of cleanliness, sanitation, and safety throughout the zone. Establish and enforce custodial protocols, procedures, and quality assurance programs.
  • Zone Operations: Oversee and coordinate the integrated facilities management operations within the assigned zone of the district. Ensure that all services, including custodial, grounds maintenance, and general maintenance, are delivered efficiently and effectively.
  • Budget Management: Assist in the development and management of the zone's facilities budget, including forecasting expenses, monitoring expenditures, and identifying cost-saving opportunities. Participate in budget planning, capital improvement projects, and resource allocation decisions.
  • Grounds Maintenance: Supervise and coordinate grounds maintenance activities, including landscaping, horticulture, pest control, and snow removal. Ensure that outdoor spaces within the zone are well-maintained, visually appealing, and safe for students, staff, and visitors.
  • Continuous Improvement: Identify opportunities for process enhancements, efficiency improvements, and cost savings within the zone's facilities management operations. Stay updated on industry trends and best practices, and proactively implement innovative solutions.
  • General Maintenance Support: Collaborate with the maintenance team to oversee general maintenance activities within the zone, including preventive maintenance, repairs, and renovations. Coordinate resources and prioritize tasks to ensure timely completion of work orders and minimize disruptions.
  • Reporting and Documentation: Generate reports and maintain documentation related to facilities management activities within the zone. Provide regular updates to the Account Director, including operational performance, budget status, and project progress.
  • Client Relationship Management: Build and maintain positive relationships with school administrators, staff, and other stakeholders within the zone. Collaborate with them to understand their needs, address concerns, and provide exceptional customer service.
  • Vendor Management: Manage and collaborate with vendors, contractors, and service providers to ensure quality service delivery. Develop and maintain relationships, negotiate contracts, monitor performance, and resolve issues in a timely manner.
  • Compliance and Safety: Ensure compliance with all applicable codes, regulations, and standards related to facility operations, custodial services, grounds maintenance, and general maintenance. Implement safety protocols, conduct regular inspections, and address safety concerns promptly.

Qualifications:

  • Strong knowledge of soft services, including custodial operations and grounds maintenance.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
  • Familiarity with general maintenance practices and basic knowledge of building systems.
  • The IFM Zone Manager plays a critical role in ensuring the smooth operation of facilities management services within their designated zone. This position requires strong leadership, technical expertise, and the ability to manage resources, vendors, and client relationships while maintaining high standards of service, quality, and compliance.
  • Proven vendor management skills, including contract negotiation, performance monitoring, and issue resolution.
  • Knowledge of regulatory compliance, safety standards, and environmental sustainability practices.
  • Strong organizational and time management abilities, with the capacity to handle multiple priorities and meet deadlines.
  • Demonstrated experience in integrated facilities management, preferably in an educational or public sector environment.
  • Bachelor's degree in Facilities Management, Business Administration, or a related field. Relevant certifications or professional affiliations are a plus.
  • Proficiency in using computerized maintenance management systems (CMMS) and other relevant software applications.
