Job Summary
Under general supervision, performs a variety of clerical and administrative duties that support the mission of Denver Health's Nurse-Family Partnership home visitation program. Clerical duties include patient registration, insurance verification and billing, timely updating of all pertinent patient record demographic information, data entry; scanning of client records into OnBase, telephone answering and department receptionist functions. Administrative duties include general office operations, management of Epic (templates, schedules, and work queue) in a timely manner, registering and processing payment for all professional development on the team, monitoring availability of required professional development courses (internal and external) and notifying supervisor(s) when available, reporting, process Epic and external referrals (initial screen for eligibility, verification of demographics, and identify high risk referrals), monitor quality control of nurse led data entry and follow through with nurses as needed.
Essential Functions:
  • Quality Control- develops and implements a process for monitoring standard work such as nurse-led data entry, NFP form completion and timelines, monthly paperwork (enrollments, closures, mileage). (5%)
  • Referrals to NFP program- processes internal and external referrals, follows standard work timeliness and follow-up, screens for eligibility, collaborates with supervisor(s) to manage referrals, and when needed helps to call referrals. (10%)
  • Reception- Acts as a point of contact for receiving information and calls from internal and external customers, and service providers to maintain office equipment/supplies, maintenance, and environmental services. (5%)
  • General Operations- must be able to organize office, inventory office supplies and client educational materials, create purchase orders, generate and reconcile payment requests, attends departmental meetings, compiles meeting minutes, maintains and continually develops competence with office technology. Connects with referral providers to distribute program materials and participates in community outreach as needed. (10%)
  • Administrative support- Maintains Epic templates, schedules, and work queues for the department. Creates new patient accounts in Epic. Scans DH consents and patient files into OnBase. (20%)
  • Registration- accurately verifies necessary patient demographics that are tied to patient accounts, high attention to detail when entering information, and timely registration process (accurate and effective). (20%)
  • Data Entry- collects and enters data into spreadsheet and/or databased for monthly reporting (20%)
  • Reporting- generates reports, analyzes the data, identify errors in reporting and areas of concern, and summarizes data in preparation for standardized reporting. (10%)

Education:
  • No High School Diploma and/or No GED

Work Experience:
  • 1-3 years or more years of related experience or a combination of education and work experience. Required
  • Bilingual- English/Spanish preferred

Licenses:
Knowledge, Skills and Abilities:
  • Ability: Prioritize work activities with minimal supervision, in an individual and team setting, adapt to change, utilize multiple software applications and information systems to perform work processes. Demonstrates a willingness to learn new techniques, methods, and to participate in new programs and other system changes
  • Computer skills required: Proficient in Microsoft Office and knowledge of databases and how to utilize.
  • Knowledge: Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Microsoft Power BI. Knowledge of principles and practices of organization, planning, records management, and general administration. Intermediate knowledge of databases sufficient to be able to research, analyze, and report.
  • Skill: Excellent customer service, problem-solving, and communication.
  • Computer skills preferred: Familiarity with Epic, software applications or information systems (Lawson, Penelope, Power BI)
