Position Highlights

The primary purpose of this position is management and responsibility for the department's database management and accounting system, Cayuse. Cayuse is used for oversight of multi-year sponsored awards, local department commitments, and overall department fund management. It provides reporting for tracking expenditures and forecasting. This position will be responsible for transaction and payroll importing, account reconciliation, user profile management, sponsored budget loads, reporting to Principal Investigators, data imports from Analytics,Generate RBCs and SETs for corrections.

Duties & Responsibilities
  • Prepares documentation and training materials for Cayuse end-users at LPL. Develops, updates, and improves resource materials related to Cayuse and its application within LPL. Maintain proficiency with the Cayuse system, and any UA system needed to feed into Cayuse. Attend virtual trainings, workshops, and info sessions. Serve as liaison between LPL and Cayuse.
  • This position will also be tasked with routinely evaluating the application of this new system, and encouraged to continually think of ways to provide more informational reports or improve on existing reporting practices. Bi-weekly or monthly reconciliation of all state, local and complex research expenditures. LPL has more than 150 active accounts. Most account activity ($38M annually) is from sponsored awards. This work is performed with moderate guidance, and accuracy is critical for being able to identify discrepancies and resolve them in a manner of time that is crucial for federal compliance of sponsored awards. These are complex accounts, including expenditures on multiple NASA missions; such as OSIRIS-REx, OSIRIS-APEx, HiRISE, and NEOS. Duties also include the tracking of local departmental subaccounts/commitments to ensure internal budget controls.
  • Maintain and continue implementation of Cayuse system for department use. Assist in final configuration and implementation of Cayuse, in addition to establishing and/or refining procedures and guidelines for maintaining financial compliance. This includes creating/utilizing import reports for payroll, transactions, and budget loads; and streamlining existing processes for post-award account management, pre-award proposal success, interdepartmental commitment tracking, and account set-up/close-out. Maintains system access controls for LPL Cayuse users through creating/updating account profiles and access levels.
  • Create and/or prepare complex research and/or commitment reports for department PIs and researchers. These include but are not limited to: expenditure reports, summary/account balance reports, current & pending reports, internal commitment tracking reports, special and complex financial reports for the Director and Department Administrator, etc.

Knowledge, Skills & Abilities:

  • Working knowledge of UAccess Research, Financials, and Analytics; and OMB Uniform Guidance.
  • Ability to evaluate, understand, and improve upon Cayuse advantages and limitations.
  • Ability to communicate effectively with different groups of people, i.e., professors, scientists, administrators, and units outside of the department.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience is required.
