Responsibilities
This position is responsible for administering the department’s donor gift accounting and stewardship activities reporting to the Gift Accounting Supervisor. This position provides day-to-day administrative and analytical support of all donor gifts including the creation of complex reports, research, and project assistance. It interacts with individuals at all levels of UCD/UCDH including leadership and Advancement Services and must maintain the highest level of sensitivity and confidentiality relating to donor matters.
Additionally, this position will be the ADVANCE Specialist and special projects assistant. It is responsible for gathering and analyzing donor data, preparing complex reports, and evaluating current and proposed services to streamline gift processing procedures and enhance donor customer service. This position requires advanced knowledge of donor stewardship and cultivation, data entry and validation and UC gift acceptance policies and procedures. Gift Accounting support includes, but is not limited to, processing complex donor gifts, ensuring the integrity of the gifts accounting system compliance with all university and gifts accounting policies, as well as providing appropriate donor stewardship including meeting with donors to receive gifts, follow-up donor thank you calls and resolving gift issues and answer donor questions.
Required Qualifications
- Ability to use discretion and maintain confidentiality of all patients, employee, departmental, and University information and materials.
- Strong Customer Service skills including timely follow-up with donors, front-line development staff and colleagues on both campuses.
- Familiarity with the Internet and with various Internet browser applications and have strong web navigation skills.
- Ability to use sound judgment when dealing with complex issues.
- Ability to attempt unfamiliar projects/assignments and respond with flexibility to request for assistance.
- Ability to set goals, organize workload, and multi-task with demanding time frames.
- Intermediate level of experience in Microsoft Office applications, e.g., Excel, Word, etc.
- Ability to work independently, and under direct supervision, to prioritize work demands and to meet anticipated deadlines.
- Working knowledge of report preparation.
- Ability to write for clear, concise, and accurate business correspondence and other written communications with various audiences. Demonstrated attention to detail, spelling, and punctuation skills.
- Strong data entry experience managing detailed, sensitive-nature transactions.
- Interpersonal skills to work cooperatively with UCDH providers and departments.
- Ability to learn the Development Information System (ADVANCE), the donor database.
- Solid organizational skills, ability to multitask and willingness to take initiative.
- Ability to learn the GREAT Gift Processing System and be proficient at data entry.
- Interpersonal skills and flexibility necessary to establish rapport and develop trust with donors, potential donors, and other faculty and staff members.
- Ability to provide strong attention to detail in all aspects of daily processing work. Ability to proof work and create minimal errors.
Preferred Qualifications
- In-depth knowledge of a broad array of gift funds and purposes.
- Advanced customer service skills to deal with escalated donors.
- Experience in fund development or stewardship administration and practices.
- Knowledge base of understanding UC Davis’ policies and procedures in relation to gift processing.
Special Requirements
- This position may be subject to a criminal background investigation, drug screen, Live Scan fingerprinting, medical evaluation clearance, and functional capacity assessment.
- Available to travel as needed.
