Position Summary:The School of Nursing is seeking applications for a Front Office Assistant. This position requires a dynamic, organized and focused individual to work closely with the School of Nursing Staff, as well as current and potential nursing students.


Duties


10 Other duties as assigned; this position will be available to support other functions and duties as needed. Essential


15 Serve as building manager for the Health Sciences Building (HSB). Maintain office keys; open/close offices. Schedule rooms in HSB, assist with facilitation of room set up for events and with event coordination; maintain conference room facilities. Receive and deliver materials and equipment. Essential


25 Provide administrative support for academic and student support staff. Print student and new hires badges. Maintain inventory of updated program information sheets, correspondence, brochures, etc. for prospective students. Refer and assist with schedules for pre-nursing student advisors. Use tools such as Banner, Seawolf Tracks, and SON internal databases to assist students with information and scheduling; use computer scheduling programs. Maintain confidentiality of student records. May train and/or lead student employees. Essential


50 Serve as initial point of contact for students and the public contacting SON. Open, distribute and answer departmental email. Answer incoming calls, respond to general requests for information regarding nursing programs. Open and distribute incoming mail, including other HSB departmental occupants. Greet and provide assistance to walk-in students seeking program information. Maintain understanding of complex programs and processes within SON to provide accurate information to students and the public. Uses initiative to identify problems and suggest solutions. Essential


Knowledge, Skills, Abilities


  • Ability to work with multi-cultural student population.
  • Strong organizational and time management skills.
  • Demonstrated experience with variety of file management systems.
  • Ability to exercise considerable discretion, confidentiality and independent judgement.
  • Ability to work independently under general supervision and prioritize tasks.
  • Demonstrated knowledge of general business office procedures and machines (copier, fax, multi-line phone).
  • Excellent verbal, telephone, electronic and written communication skills.
  • Knowledge of computer operations including basic office software, spreadsheets, databases, Banner, and scheduling programs; ability to learn computer programs of intermediate difficulty.
  • Demonstrated customer service experience.


Preferred Experience & Education


One year of previous administrative support experience.


Required Experience & Education


High School graduation and one year office/administrative experience, or an equivalent combination of training and experience.


Some post secondary education preferred.


Salary Information


This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary andfull employee benefits package (https://alaska.edu/jobs/benefits.php) . Position Summary


The position will serve as the first point of contact for students and public contacting the School of Nursing. Incumbent will provide administrative support for academic and student support staff as well as serve as the building manager for the Health Sciences Building.
