Team Overview:
As a Front Desk receptionist as well as Administrative Support, you will have a dual role, combining front desk responsibilities with administrative support tasks. You will be responsible for providing excellent customer service at the front desk while also assisting with various administrative duties. This role requires strong organizational skills, attention to detail, and the ability to multitask effectively.
Role Responsibilities:
Day-to-Day Front Desk Responsibilities
  • Receive and handle mail, receive deliveries, prepare shipments and send out packages.
  • Provide phone coverage, take and relay messages.
  • In-office snacks and drinks replenishment.
  • Receive employee lunch and assist catering vendor with set-up and clean-out.
  • Manage lobby area; be the front desk ambassador. Responsible for coverage of reception desk from 9am-6pm (one-hour lunch). Ensure knowledge of movements in and out of company via front entrance.
  • Check in day-porter (day porter hours are 11:00AM – 3:00PM, Monday through Friday).
  • Greet, assist and direct visitors (internal & external visitors, prospective hires, job candidates, new hires and vendors). Keep track of visits.
  • Tidy and maintain the reception area, lobby and 10 conference rooms on a daily basis.
Administrative Support
  • Activities and events logistic support.
  • Provide administrative support: such as filing, data tracking, data entry and information collection. It may also be responsible for creating and maintaining records.
  • Assets inventory support.
  • Coordinate with HR / IT team for employee on-boarding and off-boarding process.
  • Support the management team: it can include scheduling meetings, creating reports, and performing other administrative tasks.
  • Manage office supply and janitorial supply inventory, create order if needed.
  • Support coordination and scheduling of facility maintenance activities; track operations projects through constant communication and follow-up.
  • Conduct weekly janitorial walk-through. Communicate with vendor for any issues or needs.
Role Qualifications:
  • 2-3 years of admin or related experience
  • Bachelor degree
  • Administrative skills to be able to use basic computer skills including Microsoft Office, G-suites etc.
  • Communication skills to be able to communicate with internal team members, employees, and visitors, and understand their needs.

Salary: $24.5 hourly
