Description:

YR Media is launching its Midwest Hub (Chicago) and is seeking a First Impressions Coordinator. The First Impressions Coordinator is a full time position responsible for undertaking daily reception and clerical duties at YR Media’s main entrance during the opening shift (8:30am-5pm). The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. A customer-oriented approach is essential.

Requirements:

Responsibilities:

  • Process all incoming and outgoing USPS, FEDEX and UPS deliveries;
  • Ensure that the front desk is never left unattended or is covered by appropriate adults staff;
  • Physically aid in building evacuations during emergency;
  • Demonstrate familiarity with Microsoft Word, Excel, Google docs, Google calendar, and copier-printer
  • Respond to inquiries and address complaints;
  • Schedule repair visits with provided contractors in emergency situations;
  • Courteously green and sign in/out all visitors, vendors, staff and participants, completing any associated paperwork and directing each person to the appropriate department;
  • Assist with site visits and internal event preparation: set up chairs, tables, catering as requested;
  • Answer, screen and direct calls, taking accurate and clear messages;
  • Take up other duties as assigned (travel arrangements, schedules, etc.)
  • Ensure employees, participants and visitors are displaying ID badges;
  • Check, sort and forward mail, emails, and voice messages;
  • Stock/lift office and janitorial supplies not exceeding 30 lbs including reaching shelves above 6ft in height using a stepladder to conduct printer supply inventory bi-weekly
  • Keep updated records and files, monitor office expenses and cots;
  • Develop and maintain an up to date inventory of all office supplies;
  • Open facility on a daily basis, maintaining security and safety awareness with fire systems and door alarms, physically operate padlocks and metal roll-down gates for daily opening;
  • Notify police, fire department, and appropriate security personnel in an emergency situation;
  • Assist the Facilities Manager with all procedures relating to Health, Safety and Security;
  • Communicate internally with staff both in person and via YR Media’s online meeting, messaging and project management systems (Slack, Asana, Zoom);
  • Visually or physically verify job completions for various contractors visiting facility;

Required Qualifications, Knowledge & Skills:

An ideal candidate will have or possess the following:

  • High attention to detail and proactive problem-solving skills
  • Strong contributor in team environment
  • Knowledge of office management and basic bookkeeping
  • Personable, professional, patient demeanor to interface with staff and youth of diverse backgrounds.
  • Familiarity with Slack and Asana platforms; willingness to quickly learn different platforms and emerging technologies a plus
  • Strong customer service background ability to maintain boundaries with youth participants
  • Ability to work fluidly in a fast-paced environment, under tight deadlines, and simultaneously manage multiple projects
  • Meticulous attention to detail and exceptional organizational skills
  • Proficient in English (oral and written). Excellent verbal communication skills. Bilingual is a plus.
  • Proficiency in Google Suite (Gmail, Google Calendar, Google Sheets, etc.) and Zoom or similar teleconference system software
  • 2-4 years of proven experience as front desk representative
  • Familiarity with office equipment (i.e. Copier/printer,scanner, etc.)

Compensation: This is a full-time, non-exempt position. The hourly wage rate will be commensurate with experience. The hourly pay range for this position is $30 - $32.

Supervisory:

This position reports to the Facilities Manager.

Location & Physical Requirements

Employee’s principal place of work is Chicago, IL. As we launch our Midwest Hub, this position is currently a hybrid role and will transition to regular on-site presence at the Chicago office. Approximately 90% of the time spent on the job involves use of a monitor; therefore, employee must be able to sit for extended periods and to utilize standard ergonomics practices. Unless otherwise traveling, employee will primarily work in an office environment, requiring the following activity: lifting and carrying materials weighing up to 25 pounds, kneeling, bending. Must be able to use standard office equipment.
