Job Purpose/Summary
The Facilities Coordinator will oversee on-site activities for the Seattle offices and laboratories and work with all departments to ensure the facilities and resources meet organizational needs. The Facilities Coordinator must be able to operate in a fast-paced environment, be highly customer service oriented, able to organize and prioritize tasks, and have excellent communication skills.
Roles And Responsibilities
Facilities Coordination:
  • Oversee janitorial services, off-site storage, parking, and security services, including vendor management and access control badges.
  • Oversee day-to-day operations of facilities and research spaces, ensuring they are clean, well-maintained, and fully functional.
  • Coordinate with various departments to understand their facility needs and identify appropriate solutions.
  • Manage breakroom supplies and restock snacks
  • Collaborate with cross-functional teams to optimize space planning and utilization, ensuring efficient use of facilities and resources.
  • Coordinate moves, expansions, and reconfigurations of laboratory and office spaces, ensuring minimal disruption to ongoing activities.
  • Manage shipping and receiving activities, ensuring materials are delivered in a timely manner and stored at appropriate temperatures.
Facility Repair & Maintenance
  • Assist with building controls and mechanical oversight on properties directly managed by Sonoma
  • Other activities as assigned
  • Coordinate routine maintenance, repairs, electrical work, and equipment servicing to minimize downtime and ensure optimal functioning of facilities.
  • Collaborate with external contractors and service providers to ensure timely and high-quality execution of maintenance tasks.
  • Monitor lab equipment and conduct site-preparation activities for new incoming equipment
  • Conduct regular inspections to identify potential issues or safety hazards and address them proactively.
  • Coordinate with landlord as needed and ensure communication is shared across departments as appropriate.
Budget And Vendor Management
  • Monitor vendor performance, resolve issues, and evaluate vendor effectiveness.
  • Establish and maintain relationships with vendors and suppliers for facility-related services and products, including maintenance contracts, equipment purchases, and supplies.
  • Assist in preparation and management of facility budgets, including monitoring expenses, identifying cost-saving opportunities, and providing input for budget planning.
Qualifications And Education Requirements
  • Strong internet and software skills.
  • Superb follow-up skills and attention to detail.
  • Demonstrated ability to work in a fast-paced working environment and work in a diplomatic and tactful manner with others
  • Is flexible and adaptable
  • Experience with managing preventive maintenance and repair of house utility systems (laboratory gases, vacuum, HVAC, electrical, water systems, etc.)
  • Must be a creative and proactive problem solver; keen ability to anticipate needs and solve problems with sound judgment
  • Excellent organization, communication/interpersonal, and time management skills.
  • Sound judgment and troubleshooting skills
  • 1-3+ years of experience in GMP facilities and/or engineering, along with experience in a lab environment
