What you will do!
The Executive Support Specialist’ primary role is to provide confidential and proactive executive and administrative support to the Health in Education Administrator within the Director’s Office. This position also provides administrative support to the Director’s office as needed. Duties require confidentiality, basic knowledge of the principles of work organization and simplification, and proficiency in both written and verbal communication skills.
Your day could contain a variety of the following responsibilities:
  • Answering questions from ODE staff
  • Taking notes and gathering information during confidential meetings
  • Supporting large (up to 200) and small (1:1) meetings, including scheduling across calendars, remote platform, agenda development, note taking, follow up
  • Answering emails from education partners
  • Facilitating and providing technical support to a variety of virtual platforms for managers and colleagues
  • Designing administrative procedures, protocols and processes in alignment with agency-wide policy, procedures and systems
  • Managing information inflow through SmartSheets
  • Prioritizing schedules to accommodate emergencies and responding to urgent requests with tact and professionalism

What you need to qualify (Need to haves)

One year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

  • Attentive and intentional verbal and written communicator.
  • Aptitude for learning and developing skills and approaching learning courageously.
  • Dedication to equity and justice for Oregon’s education system.
  • Technical Capacity, including skill with Smartsheet, MS365 and OneDrive and Google suite.
  • Proficiency in collaborative brainstorming, team building, and problem solving within a group.

Mandatory Working Conditions:
  • During the legislative session, new rules adoption, training or onboarding new staff, or the release of updated guidance, this position's workload may increase and work hours could be extended to accommodate business and organization needs.
