Job Description

The Executive Assistant (EA)/Business Analyst provides high-level executive support to the Assistant Vice Provost/Executive Director by maintaining knowledge of areas, activities, and priorities in Undergraduate Admissions. The EA contributes to a collaborative office culture and is a highly resourceful team player with the ability to function effectively independently. On behalf of the Assistant Vice Provost/Executive Director and with input from the Executive director, use sound judgment to assist in solving complex problems and ensure day-to-day operations are well coordinated and support the activities and functions within a fast-paced UA office. Manage, schedule, and maintain Assistant Vice Provost/Executive Director's complex calendar and prepare needed materials to ensure timely follow-up on action items and coordinate with other leaders' calendars as necessary. Maintain an in-depth knowledge of the Assistant Vice Provost/Executive Director's activities to effectively identify and navigate emerging issues. Manage inquiries, correspondence, and documents on behalf of the Assistant Vice Provost/Executive Director. Staff several university committees by managing meetings, take notes and provide follow up. Assist UA leadership in communication and scheduling needs for projects and programs. Supervise administrative associate within Undergraduate Admissions. Manages the Assistant Vice Provost/Executive Director's correspondence, drafts, edits and finalizes reports and presentations. Hire, train and coach administrative associate. Conduct weekly check-in meetings and provide direction and feedback. Conduct performance review and provide regular coaching. Manage department budget. Generate monthly budget reports, track expenditures, generate payment requests. Research budget questions. Create spend authorizations, requisitions and expense reports. Act as an administrative liaison with Strategic Enrollment Management’s Admin Services Office (HR and Fiscal). Oversee operational functions of the Undergraduate Admissions Office. Serve as floor safety coordinator. Manage staff rosters and office locations. Order supplies, schedule meeting spaces and assist with special events and catering. Manage central technology needs for the office. Oversee the coordination of changes in staff technology and serve as a liaison with the Office of Technology and Digital Innovation (OTDI). Oversee and implement staff on-boarding activities and ensure new staff have equipment, access and supplies needed for their position. Manage special projects. Perform other projects and duties as assigned.


Minimum Education Required: Bachelor’s Level Degree or equivalent combination of education and experience.

Qualifications Required: Minimum two years of relevant experience required. Experience in a progressively responsible administrative position. Experience working with senior leaders and administrators. Excellent verbal and written communication skills, discretion, strong customer services and ability to implement and manage processes. Strong organizational and project management skills. Proficiency in office software, including Outlook, Teams, Zoom, Excel, Word, Qualtrics, and Visio. Commitment to diversity and inclusion in the workplace. Demonstrated success in supervising staff.

Qualifications Desired: 2-4 years of experience in an enrollment, admissions or financial aid organization strongly desired. Knowledge of University policies, rules and regulations desired.

The target hiring salary is $49,800 - $66,400. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications.

Ohio State and Undergraduate Admissions has adopted a hybrid work environment. The executive assistant will be expected to work in person on the Columbus campus at least four weekdays per week.
