Job Description
Responsibilities:


  • Meeting Coordination and Support: Arrange and coordinate executive-level meetings, including preparing agendas, gathering, and distributing meeting materials, and recording minutes. Follow up on action items and ensure that deadlines are met.
  • Administrative Support: Provide general administrative support to the CEO, such as managing expenses, preparing documents, organizing files, and handling other administrative tasks as required.
  • Travel and Event Planning: Arrange travel itineraries, accommodations, and logistics for the CEO and other executives as needed. Coordinate and organize company events, conferences, and other special occasions.
  • Research and Analysis: Conduct research and provide comprehensive reports or summaries on various topics, market trends, competitors, or other areas of interest. Assist in data analysis and preparation of presentations for strategic decision-making.
  • Miscellaneous Duties: Handle ad hoc tasks and special assignments as delegated by the CEO. Adapt to changing priorities and take on additional responsibilities as necessary.
  • Relationship Management: Build and maintain positive relationships with internal and external senior executives, clients, and partners. Act as a liaison between the CEO and various departments, providing necessary information and ensuring effective communication.
  • Information Management: Maintain and organize relevant databases, files, and records. Keep track of important documents, contracts, and legal requirements, ensuring their accessibility and accuracy.
  • Project Management: Support the CEO in managing and executing strategic initiatives and projects. Monitor project timelines, milestones, and deliverables, and coordinate with relevant stakeholders to ensure successful project completion.
  • Communication and Correspondence: Handle incoming and outgoing communications on behalf of the CEO. This includes managing emails, drafting, and reviewing correspondence, and preparing reports and presentations. Maintain confidentiality and exercise discretion while dealing with sensitive information.
  • Calendar and Schedule Management: Manage the CEO's calendar, including scheduling and coordinating appointments, meetings, and travel arrangements. Prioritize and optimize the CEO's time by handling conflicting demands and ensuring timely preparation for meetings.
