Job Description
MilkMoney is a leading on-demand media buying marketplace connecting advertisers with a wide range of out-of-home (OOH) opportunities. Publishers make their inventory available for advertisers to browse, plan, book, and track their campaigns from start to finish.

This role is accountable for understanding the priorities of the office, the players seeking time, the context of any given meeting, briefing the CEO & COO, and representing the office while scheduling a time or declining to do so while treating everyone professionally and with dignity.


NOTE: This role is on-site at our corporate headquarters in Los Angeles, CA (Mid-City).


Responsibilities:


  • Provide clear, comprehensive travel packs including detailed travel itinerary, logistical confirmations, diplomatic and/or medical clearance, meetings, investment context, etc.
  • Prepare and track expense reports in a timely manner, following Travel & Expense Policy
  • Trust and Loyalty are a must. There will be times when the CEO and/or COO entrusts you with confidential information and you must keep it confidential while executing the tasks.
  • Support research and preparation for external meetings, including reaching out to other team members to create meeting briefs and submit notes after the fact.
  • Coordinate with Finance on any contract signing for guidance and policy
  • Serve as the first and primary contact for the CEO and COO; prioritize and escalate issues to maximize the use of the CEO and COO’s time and proactively resolve issues quickly. Don’t let it linger.
  • Take on other assignments at times, including research, writing, office management tasks, etc.
  • Forecast well in advance and obtain required medical documents, passport pages, and travel visas in advance of international trips
  • Schedule, execute, and coordinate a seamless run of the CEO & COO’s daily schedule, juggling multiple, simultaneous requests across multiple time zones.
  • Accountable for overseeing, arranging, and booking all travel and check-ins, coordinating with all stakeholders, and thinking through the CEO and COO’s needs throughout the journey and understanding preferences, working to enact them, or communicating when preferences are not attainable
  • Manage hectic email traffic. It’s a skill and an art. Monitor and respond to inbound and outbound physical mail.
  • Ensure that the CEO & COO understands the basics of who, what, where, why, and how of every meeting. Prepare, plan, and discuss all essential logistics for the CEO & COOs meetings.
  • Be aware of where the CEO/COO is while traveling and developing needs.
  • Obtain necessary information and signatures for documents relating to the CEO and/or COO and track to ensure proper processing and delivery
  • Maintain accurate details for meetings in advance of travel, and add to necessary calendars.


Qualifications:


  • 5 - 7 years of experience in a service role in a relatively demanding professional environment
  • Self-reflective and aligned with MilkMoney values
  • Ability to anticipate needs and identify challenges before they arise. Ability to solve for them or communicate barriers up the line.
  • Excellent project management skills: the ability to orient the players toward the end game, the deliverables involved, the activities required to meet them, and the shared timeline to execute.
  • Ability to remain relatively calm and an ability to remain calm when plans change or plans go awry
  • Total discretion with sensitive information in all contexts
  • Mastery of tech apps including Word, Excel, PowerPoint, Gmail, and Zoom
  • Permanent authorization to work in the United States
  • Excellent relationship management skills: ability to understand the players, their needs, and their timelines, and treat them with dignity.
  • Excellent verbal and written communication skills: crisp, clear, and kind.
  • Ability to collaborate effectively with people from all walks of life, from all over the world, and from all levels of accountability
  • Ability to plan and execute with an end goal in mind and attention to the user experience, ability to communicate the implications of changes
