Job Description
LMG Security, a dynamic, fast-paced cybersecurity consulting firm headquartered in Missoula, Montana, is seeking a highly-organized individual with a can-do attitude to become our Event Support Assistant. The Event Support Assistant supports the event department and business development team. This position is on-site at our main office in Missoula.


Event Support


  • Coordinate and attend event kickoff calls, dates, and audio/visual tests
  • Moderate events and introduce speakers as needed
  • Collect feedback and ensure it is captured and distributed as needed
  • Set up space for events
  • Communicate with students/attendees using email, Constant Contact and other methods
  • Configure virtual webinar software with appropriate settings for LMG-hosted webinars and assist with follow-up
  • Monitor questions and chat channels during virtual events
  • Help to maintain relationship with outside parties
  • Provide support during events, from setup to teardown
  • Set up and maintain projects in the company project management software (Celoxis)
  • Help to coordinate corporate events such as holiday parties, special goodies for the team, and interviews
  • Track action items, provide reminders and status updates consistently
  • Keep recording studios organized, neat and tidy, ensure all lights are on/off at appropriate times, verify that equipment is working properly, and coordinate with IT and Facilities as needed
  • Maintain the schedule of upcoming events
  • Ensure that handouts, slides and other content used during events are appropriately organized and delivered to clients and/or other parties


Business Development


  • Additional tasks as needed
  • Order corporate swag (banners, thank you notes, chocolates, holiday gifts, etc.)
  • Track and maintain inventory for all marketing materials, and re-order when needed
  • Attend event planning /marketing meetings, take notes, and provide reports/updates
  • Assist the team with minor web site updates if needed (ie. create events pages for new events, add/edit speaker bios, etc)
  • Pack and ship marketing materials for events
  • Enter attendee and customer information in Salesforce and ensure it remains up-to-date
  • Use Salesforce to track customer information


General


  • Take notes during meetings
  • Send calendar invitations for internal and external meetings
  • Respond promptly to client and team requests
  • Run errands
  • Track deadlines and to do lists for upcoming events and initiatives


Qualifications


Education/Experience:


  • High school diploma or equivalent required
  • 1 year of administrative or assistant experience


Skills:


  • Experience with project management software (especially Celoxis) a plus
  • Familiarity with Zoom, GoToWebinar and Salesforce a plus
  • Excellent written and oral communications skills
  • Effective and efficient time management and ability to multitask
  • Proven ability to take initiative and follow-through on projects independently, as well as in a team environment
  • Ability to work in a fast-paced, high-tech environment
  • Experience with audio/visual recording or podcasting a plus
  • Strong attention to detail and highly organized


Physical Requirements:


  • Ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of up to 70 pounds
  • Occasional travel will be required
  • Regular physical presence in the office is required
  • Sitting for prolonged periods of time
  • Primary functions require sufficient physical ability to work in an office setting and operate office equipment
