Job Description
Indiana Sports Corp has an unmatched history of successfully staging sporting events. Since 1979, Indiana Sports Corp has hosted more than 500 events in Central Indiana. Today, the not- for-profit organization continues to create positive impact by hosting world-class sporting events which drive economic vitality, facilitate a vibrant community with civic pride, garner national and international media attention, and create opportunities for our youth.
Position Overview
The Event Manager is a key member of the events team and will provide leadership and direction through the planning, coordination, and execution of Indiana Sports Corp events. The Event Manager serves as the staff liaison for assigned NCAA Championships, Big Ten events, National and International Championships for Olympic Governing Bodies, and Indiana Sports Corp owned and operated events.
General Responsibilities (includes but not limited to):
  • Responsible for developing a project plan including a timeline, staffing plan, action items, and deadlines to ensure best in class production of assigned events.
  • Assist with other projects, events, and responsibilities as required.
  • Work with key stakeholders and agencies to secure the necessary permits and approvals for assigned events.
  • Source vendors and suppliers necessary for assigned events including, but not limited to: heavy equipment, tents, sound, power, truss/staging, restrooms, internet, truck rental, etc.
  • Serve as an ambassador of Indiana Sports Corp in the community and help communicate the mission of the organization.
  • Work cross functionally within the organization on logistics, marketing and promotions, community relations, ticketing, media operations, and graphic design to ensure strong collaboration, clear action items, and defined deadlines.
  • Support warehouse organization and management.
  • Compile and create after action reports for assigned events.
  • In conjunction with stakeholders, develop an Emergency Action Plan for assigned events.
  • Participate on Local Organizing Committees and lead volunteer committees to ensure proper and timely completion of committee’s responsibilities.
Event Administration (includes but is not limited to):
  • Prepare and modify contracts as needed for assigned events.
  • Prepare and manage event budgets and provide periodic updates to the Leadership Team for assigned events.
  • Secure the necessary Certificates of Insurance for assigned events.
  • Keep track of event finances including check requests, invoicing, and reporting.
Qualifications
  • Excellent communication skills (both verbal and written)
  • Knowledge of Outlook, Word, Excel, PowerPoint, Salesforce (can be trained)
  • 3-5 years prior experience in event planning and production
  • Ability to work evenings, weekends, and holidays when necessary
  • Bachelor’s degree required
Preferred Skills
  • Able to think critically in high pressure situations
  • Comfortable presenting to large and small groups of people
  • Budget management and negotiation skills
  • Experience working with volunteers and/or managing and motivating people
  • Exceptional time management skills, multi-tasking abilities, team player
