Title: Director, Operations
- In collaboration with the Executive Director of Physician Billing Services, direct, coordinate and oversee effective front office Revenue Cycle Management (RCM) to include patient registration, eligibility, insurance, and authorization requirements to maximize reimbursement. Collaborate with Billing (A/R) Director and Coding Manager to review trends and identify opportunities to improve charge submission, coding practices, etc. Hold practice managers accountable for established RCM policies and procedures. In coordination with RCM, provide regular educational updates to practice managers and staff as necessary.
- Monitor clinical and operational performance and identify strategies to reduce cost, enhance revenue and improve quality of care and service. Collaborate with leadership dyad teams, physicians, and management in developing appropriate levels of patient care services to maintain effective day-to-day operations of the medical clinics.
- Direct and oversee the clinical operations and management of the MCMG medical clinics ensuring efficient operations, while maintaining a high level of service and maximizing productivity and overall performance. Maintain current knowledge of applicable local, state, and federal requirements and ensure the level of service provided is in compliance with regulatory requirements (Federal and State regulations, HIPAA, OSHA, and California Health Department) and MHS and MCMF standards.
- Oversee the development, implementation and revisions of operational policies and procedures and standard work ensuring compliance with regulatory requirements and MHS and MCMF standards. Ensure ongoing training and education is provided for clinical staff and management.
- Responsible for the implementation of medical group and health system initiatives to include, but not limited to initiatives focused on operational, quality, and financial improvements, the patient experience, and overall patient and staff safety.
- Perform any additional/miscellaneous duties (not inclusive of job description) as requested by the management team within the scope of knowledge and ability.
- Direct management team to continuously monitor, provide service recovery as indicated and identify opportunities to improve the patient experience. In collaboration with risk management and patient relations, act as a patient advocate and role model in resolving patient care issues.
- Establish and maintain effective communications and working relationships with physicians, physician and administrative leadership, management and all support departments and staff throughout the healthcare system. Develop and maintain effective leadership dyad relationships to drive performance at the point of care. Maintain high level of engagement with those teams within scope of responsibility.
- Develop and recommend operating and capital budgets and control expenditures within approved budget objectives. Direct practice managers in developing and maintaining departmental budgets and appropriate clinical resource allocations. Review monthly financial reports, identify gaps in performance and implement activities to close the gap and meet budget projections. Collaborate with Finance, Payroll and A/P personnel to ensure the timely submission of time and attendance, invoices, and expense reports.
- Demonstrated leadership skills to direct, support and motivate direct reports, peers, and employees at all levels to achieve department and organization goals and objectives.
- Strong financial and data analytical skills. Excellent budget management, long-term planning, and negotiation skills.
- 10 years of progressively complex management and leadership experience in the ambulatory setting that includes experience and knowledge of medical practice and clinical management.
- Strong communication and interpersonal skills. Able to effectively connect and build relationships with direct reports, leadership, peers, physicians, patients, other external customers, and employees at all levels throughout the organization.
- Strong computer skills with proficiency in Microsoft Word, PowerPoint, Excel and ability to learn other software applications quickly. Experience in using computer applications in a medical practice setting; Epic experience preferred.
- Demonstrated management skills including problem solving, decision making, prioritization, delegation, process improvement (lean methodology preferred), project management, team building, customer service recovery and effective conflict resolution.
- Master's degree in health care administration or another related field preferred.
- Bachelor's degree in business management, health care administration, Nursing, or another related field required.
