Job Description
Salary Range: $21.54 - $28.03 hourly


Job Summary


This position will perform responsible and varied legal clerical work in the Municipal Court system, which involves considerable public contact work and customer service, processing, filing, and reporting of case file information from public and law enforcement agencies in accordance with strict Court policies. The position requires great attention to detail and accuracy.


Experience, Knowledge, Skills


  • Ability to deal with difficult people and diffuse a situation;
  • Excellent knowledge of correct grammar, spelling, and punctuation;
  • Valid Colorado driver license and good driving record.
  • Legal, law enforcement, or criminal justice experience desired; a combination of experience and education is accepted;
  • Excellent customer service skills in a busy office;
  • Extreme attention to detail;
  • Ability to remain calm and polite under pressure;
  • Ability to follow management directives on what results are expected, and determine how and when the results will be achieved;
  • English/Spanish bilingual skills helpful;
  • Intermediate-level computer skills (spreadsheet, word processing, and database software);
  • 1 year related experience in a court or related field;
  • Associates degree in a related field or certification program of comparable length;
  • 2 years' customer service experience involving heavy public contact;
  • Excellent data entry skills and proficient typing skills;


Essential Functions


  • Answers phones and directs calls to appropriate departments
  • Maintains a court record-keeping system that includes heavy data entry input, updating and filing of records and documents, reconciling and merging dockets, and delivering files to various destinations
  • Assists defendants before, during, and after court appearances
  • Receives and processes payments for fees, fines, and warrants; records payments; updates databases to reflect payments; issues receipts; manages and reconciles a cash drawer on a daily basis
  • Maintains, monitors, and disseminates information relating to the disposition of complaints to provide for the timely and accurate processing of complaints by using computer systems, manual documentation, and verbal and written communication following established court procedures
  • Maintains and monitors the court calendar and cases to provide an established schedule of cases used to inform all participants and to assure timely hearing dates; assists walk-in customers, attorneys, defendants, and the general public; provides information; explains procedures; researches information using manual; and computerized filing systems regarding case status and scheduling
  • Manages competing priorities with inflexible deadlines
  • Ensures that every function of the court process is completed and done correctly as well as timely
  • Processes court documents to assure proper filing, distribution, and required actions by assigning codes, determining the type of violation, determining the type of document and correspondence following established procedures for processing
  • Uses the following on a daily basis: Microsoft Office Suite, FullCourt, Clancy, NCIC/CCIC, Spillman, APS, copy machine, scanning, and fax


Work Environment And Physical Requirements


  • Operate standard office equipment requiring continuous or repetitive hand/arm movements
  • Extended periods of time at a fixed work station, walking, or standing
  • Hearing sufficient to communicate with customers through barriers (such as windows) and on the phone
  • The essential functions of this job require frequent hearing and repetitive motion; continuously sitting and talking; and occasional carrying/lifting light objects (25lbs), crouching, feeling, fingering, reaching, standing, and walking; maintaining arms and hands in the same position for repetitive tasks and frequently working with light objects and light hand tools
  • Environment is safe to having minimal hazards that are typically found in a general office environment where there is rarely little or no exposure to injury or accident.
  • Employee is subject to working alone, with groups, and/or attends meetings
  • Remain in a sitting, standing or walking position for extended period of time
  • Professional office with heavy public contact, sometimes facing adverse or confrontational situations with internal/external customers
  • Employee may have frequent interruptions; and be required to manage competing priorities with inflexible deadlines
  • Employee is not substantially exposed to adverse environmental conditions--as in typical office or administrative work; work performed is sedentary
  • Employee may be required to work overtime, holidays, evenings, shifts, or weekends
  • Manual dexterity sufficient to accurately input, retrieve and verify work assignments, perform filing tasks, and to complete paperwork
  • Vision enough to interpret computer screens and documents to assist the public and complete work assignments; specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
  • Employee may be required to conduct business in alternate locations within City buildings or field sites, sometimes in formal settings
  • Communication skills sufficient to convey information via telephone and in person
  • Employee may be asked to drive personal vehicle for business purposes
  • Employee is subject to driving City vehicle in all weather conditions
