Job Description

Position Overview

The IT Special Initiatives Coordinator for CIO provides advanced administrative support for CIO, CIO delegates, CIO special projects, and to other critical IT functions/Leaders within Step Up For Students (SUFS). This role will report to SUFS CIO and work closely with other IT leader and teams to ensure successful and timely organizational outcomes and an efficiently run IT function.


Essential Functions

· Responsible for all administrative functions for CIO, such as meeting coordination, scheduling travel; managing correspondence; processing and creating purchase orders; preparing/processing expense reports; meeting/event planning; creating or modifying business documents.

· Apply Project Management & Control methodologies, tools and processes to plan, track and monitor initiative progress from initiation through implementation to ensure successful delivery of initiatives within timeline, budget, scope, and quality.

· Plan in advance for all major milestones and drive the team efforts to meet the initiative plan and revise as needed to meet scope changes and new requirements.

· Work directly with management staff to improve processes and gain efficiencies where needed.

· Meet regularly with key stakeholders and SME’s to understand current and future needs. Relay information clearly and concisely back to the team.

· Facilitate effective and efficient meetings with stakeholders, monitor issues and assign action items with owner and timeline.

· Identify, document, communicate and mitigate risks by providing information to management in a timely manner through effective status reporting and communication to management and key stakeholders.

· Ensure initiative plans and status are updated weekly for communication to key stakeholders.

· Deliver informative and well‐organized presentations and briefings to management.

· Meet professional obligations through be present, demonstrating efficient work habits such as, meeting deadlines, honoring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrate respect for others.

· Meeting facilitation and coordinate critical communications between CIO and other IT internal, SUFS internal, and external teams.

· Creating IT centric presentations for different levels of stakeholders under CIO’s direction to convey information.

· Help with gathering and synthesis of information from numerous internal and external stakeholders upon request and guidance from CIO.

· Research information on technology topics and trends per CIO’s direction independently or with partnership with third party experts available to SUFS.

· Serve as the primary point of contact for logistics and coordination of CIO sponsored special project.

· Coordinate aspects of IT new member onboarding based on CIO request.

· Facilitate and coordinate ‘IT Portfolio Management’ meetings, meeting preparation, work preparation for idea/project sponsors for ‘IT Stage Gate’ scoring.

· Facilitate and coordinate Quarterly IT all-hands meeting, meeting preparation, work preparation for and logistical coordination.

· Attend meetings on audio and video with and on behalf of CIO and compile timely and accurate meeting action items, decisions, and delivery commitments.

· Use and understand Microsoft Office Suite (especially Excel and PowerPoint) and other business-specific software, including Clarity, and other applications as needed.

· Demonstrate utmost level of professionalism and high-quality accuracy in all work done befitting of the standards of the office of CIO and IT. Minimum Qualifications

· Bachelor’s or Associate degree preferred, in lieu of degree equivalent work experience or combination of both will be considered.

· 3+ years of administrative and/or IT project management related experience is required.

· Intermediate to advanced knowledge of Microsoft Office Suite, and Outlook.

· Excellent ability to summarize information and present using common presentation tools.

· Excellent self-organizational skills as well demonstrative ability to hand multiple priorities and delivery within deadline.

· Excellent written and verbal skills.

· Proven customer service orientation and the ability to work well with others.

· Excellent business analysis and problem-solving skills.

· Ability to work with people of varying technical skills.

· Quick, analytical thinker.

· Prior experience as a business analyst and/or quality analyst is highly desired.

· Ability to use project management tools such as MS Project, Clarity, Jira Service Management, and others are preferred.

· Proven record of delivery and project successes in previous positions.

· Must be articulate, a good listener and have the ability to persuade teams to work to their highest potential.

· PMP desired but not mandatory.
