The Contracts Administrator, under guidance from the Director, Contracts, will be responsible for structuring contractual documents that establish business relationships with customers and/or partners in compliance with company policy, specifications and other requirements, and responds to inquiries regarding contract obligations and revisions.
The Contracts Administrator will review, prepare, and negotiate documents necessary to protect the company’s contractual posture with adherence to company policy and applicable laws and regulations; performs general contract administration responsibilities; provides interpretation of terms and conditions; advises management of contractual rights and obligations; and consults with other departments as needed to ensure the company has preserved its rights, while limiting its liabilities.
Primary Duties & Responsibilities
- Understands and explains and/or trains functional groups to internal business partners company policies and procedures
- Identify and mitigate risks connected with non-standard conditions and other party changes in proposed contractual documents Ensure that contracts and other agreements are managed in accordance with company policies and procedures, applicable laws and regulations, and customer requirements.
- Reviews and provides input on selected Company agreements, correspondence, document templates (including, but not limited to, standard terms and conditions and nondisclosure agreements) and any other required documentation
- Responds to customer requests promptly and professionally; develops and maintains positive customer relationships, both internally and externally
- Maintain contract files and records, manage archive records, and maintain contract information in various databases and ERP systems.
- Works with Business Development and related departments to provide timely responses to internal requests for Product Supply Agreements, Non-Disclosure Agreements, Distributor Agreements, RFQ/RFPs, and other contractual documents
- Review and prepare various business agreements, documentation, correspondence, forms, and reports which may be required to support business development activities, solicitations, contract awards, and related activities.
- Reviews contractual documents to ensure adherence to company policies, agreed upon specifications and requirements, and conformance to master agreements
- Assists in the preparation of non-standard or complex business proposals
- Supports Sales Operations with review of non-standard Terms and Conditions, and provides recommendations for approval of the Director of Contracts
- Enters and updates contracts in Company databases (Conga/SharePoint)
Job Qualifications
- Minimum of two to five years’ experience in Contract Administration or related fields in the high-technology, government, aerospace, commercial and/or international industries.
- Familiarity with basic contract law and standard legal form and meanings and experience with FAR’s/DFAR’s
- Time management skills with ability to work well under pressure, multi-task, and prioritize.
- Strong organizational skills and ability to review and manage high volume of contract files, correspondence, and maintain information in electronic databases.
- Applicants must be either a U.S. citizen, U.S. national, or legal permanent resident.
- Must be able to communicate orally and in writing using the English language.
- Ability to work independently and as part of a team.
- Bachelor’s degree in business or related education and experience.
- Detail oriented with high level of accuracy.
- Proficient Computer Skills: MS Word, Excel, Outlook and database management.
- Familiarity with basic contract law and standard legal form and meanings.
- Some limited travel may be required to support business development, internal meetings, and contracting activities.
