Job Title
Clerical Assistant 4 - Counseling & Academic Advising Services

Job Function
Perform various support functions in the Counseling and Academic Advising Services offices.

Job Responsibilities
  • May research departmental issues
  • Maintain office literature racks
  • Access Datatel Systems to maintain student records.
  • Greet and properly direct students and staff
  • Perform other related duties as assigned
  • Create/organize client files for counselor appointments.
  • Schedule faculty appointments for clients.
  • Manage multi-line telephone system
  • Pick up and deliver items from various departments, as necessary
  • Correct and build departmental records
  • May be assigned to work at other locations as needed
  • General clerical duties including typing, answering phones and photocopying,
  • Assist full-time staff in implementing programs
  • May distribute mail and prepare mailings
  • May train and schedule part-time staff as assigned

SUPERVISION RECEIVED: Reports to the Department Manager at the assigned campus. May take direction from the South or Center Campus Staff Coordinator or other designee.
SUPERVISION GIVEN: None.

Education
High School Graduate or GED and some additional education including relevant course work and/or formal training.

Preliminary Qualifications
Two years equated related work experience or a demonstrated ability to perform the duties of the position.

Preferred Qualifications

Knowledge, Skills and Abilities
Must provide extensive customer service with courtesy and concerned attention to individual needs. Must create and maintain an environment that creates a positive atmosphere conducive to learning and student success. Will provide direct assistance to accommodate client needs, so must be able to deal with diverse populations. Excellent writing and verbal skills and the ability to follow precise procedures are required. High degree of accuracy required. May formulate project plans involving several departments. May be directly involved with agencies or persons outside of the college. Must be able to use Datatel and Microsoft Office Applications. Will be required to use advanced technical equipment. Must have the ability to manage time efficiently. Must be able and willing to work in a team environment.

Working Conditions/Physical Demands

Work Hours
To be scheduled by the department as needed, but not to exceed 20 hours per week. Times may vary. Monday or Tuesday evening required. Registration and start of semester may require additional hours.

Salary
$14.43 - $18.55 (2022-23 salary range) Maximum salary upon new hire $14.43 per hour.
