General Responsibilities for CMA


  • Interfaces with the multi-disciplinary team
  • Completes Suicide Severity Rating, Coordination of Care.
  • Reports laboratory results to the physician/CRNP
  • Communicates effectively with the physician/CRNP regarding the consumer’s physical and mental condition
  • Performs CLIA waived tests as ordered/requested
  • Facilitate PA’s for prescriptions
  • Enters current medications for infoscriber
  • Electronically submits prescriptions as directed by authorized prescribers
  • Administers injections, observing the Seven Rights of medication administration
  • Updates patient medical records as needed
  • Inputs information from completed PHQ-9’s, Alcohol Use assessment, and provides information when indicated regarding Smoking Cessation
  • Responds to patient phone calls in a timely and appropriate manner
  • Assists with the completion of the assessment process of patients including but not limited to the following height/weight and vital signs in the Nurse Work-up Form
  • Assist consumer with completing medical checklist at intake appointment and enter information into Avatar as needed


General Responsibilities for Assessment Assistant


  • Close additional charts as needed/requested by program Coordinator
  • Monitor Assessment Caseload by Program report weekly and make changes in program and attending practitioner as indicated to ensure accuracy of assignments
  • Conduct routine follow up activities by phone or mail to consumers failing psychiatric appointments for continuity of care.
  • Ensure hospital discharge paperwork is printed and scanned into the consumers medical record if consumer is coming for an intake into services post-hospital discharge
  • Conduct follow up calls for missed aftercare intakes within 72 hours of notification by CarePointe of needed evaluation
  • Take responsibility for ensuring any clinical or consumer information is secured in the appropriate location at the end of each work day
  • Work closely with Coordinator to facilitate program operations
  • Notify therapist when intakes arrive and have completed their paperwork with office professionals and are therefore ready to be seen by therapist
  • Electronically transfer consumers episode to the appropriate program as recommended by the therapist and/or assessment provider and document in the direct service record accordingly.
  • Maintain a waiting/cancellation list for psychiatric evaluations.
  • Help facilitate admission to AltaPointe program services or other agencies as appropriate.
  • Complete UR/UM data entry monthly by the 5th day of the following month
  • Assist in requesting past treatment records
  • Meet with the consumer following completion of assessment with therapist to secure any needed additional releases
  • Inform consumers of any delays or when needing to return on a different day and/or time due to exceeding maximum ability to accommodate intakes
  • Schedule psychiatric evaluation s as needed
  • Assist with completing admission paperwork such as release of information, coordination of care, patient assistance pharmacy forms
  • Maintain and provide updated community resource guide, files, and flyers, PCP list


Supervision and Consultation

Possesses current certification for a Certified Clinical Medical Assistant or equivalent. Must also have a High School Diploma or GED.


Knowledge in topics, outlined below, to be attained within (6) six months of employment

Physical Requirements of the Job


  • There is frequent standing while getting files, paperwork, and handing out medication.
  • Lifting various ranges from the floor to overhead with weights up to 1-5 pounds frequently.
  • Sitting is frequent by nature and up to 5-10 minutes; however, extended sitting could be up to 1.5 to 3 hours for documentation.
  • Squatting and/or lunging frequently to stock supplies and retrieve needed material from file cabinets and book shelves.
  • Any other duties as assigned by supervisor
  • Fine manipulation for writing, handling paperwork, and dispensing medications to consumers.
  • Pushing and/or pulling force up to 1-5 pounds force, horizontally, to open file cabinets and place binders on book shelves.


Adult Outpatient Programs provide the least restrictive level of care where adults may receive clinical interventions aimed at decreasing existing signs and symptoms. Outpatient treatment focuses on recovery, problem resolution, symptom reduction, stabilization and/or prevention of movement to a higher level of care. Treatment varies widely and depends upon the consumer’s presenting symptoms.


Case Managers assist with monitoring consumer’s well-being including needs in the areas of mental health, physical health, living, learning, working, and social environments. Case managers travel to wherever consumers reside, whether that is at home, boarding homes, or other community based living to provide monitoring, when working with children they would be going to the schools as well. The primary role of the case manager is to increase psychological adjustment for the consumer by empowering the consumers and sometimes family members with information, education and support in order to follow through once case management ends.


Essential Functions


  • Demonstrates the ability to assess the consumer’s needs
  • Monitors consumer to secure placement in the least restrictive environment
  • Provides appropriate linkage to community resources
  • Advocates on behalf of the consumer to secure community resources

Physical Requirements

Bachelor’s degree in a mental health discipline; certification of case management training by Alabama State Department of Mental Health and Mental Retardation; ability to stay organized and multi-task a workload with multiple consumers;
