Mission


Assist the Director and Management Team in the execution of their activities. Assist the Central Engineering Team with administrative operations: HR, purchasing, IT, travel, organization of meetings & document management.


Key Expected Achievements


Collaboration with the Director:


  • Coordinates the Director’s professional trips: manages the logistics through the existing tool, gathers travel documents, complete the expense reports.
  • Handles the annual department calendar.
  • Facilitates communication in the department.
  • Coordinates meetings and departmental events (logistics and planning): suggests meetings’ agendas, attends and writes the meeting minutes, if needed.
  • Handles the agenda of the Director and optimizes time, while handling all subjects within the deadlines (agenda/trips, documents/files/reports).
  • Provides the Director with all the elements/files/presentations/reports necessary to their activity within the deadlines and paying close attention to detail.


Preparation And/or Management Of Files


  • Manages specific sites in accordance with the Manager (eg MS Teams, SharePoint webpages, etc)
  • Manages both domestic and international travel file, and other departmental files.
  • Handles complementary assigned missions independently (eg: budget monitoring, dashboards etc.)


Extended Support


  • Manages the HR administration: records and specific tasks within the deadlines (vacation, mandatory trainings, on-boarding, off-boarding, etc)
  • Delivers information meetings to the department through various channels: email, Teams, SharePoint, TV communications. Will need to work with the latest productivity apps, such as Microsoft Teams, Word, Excel, PowerPoint, Outlook, OneDrive.
  • Off-boarding. Handles the departure checklist.
  • Organizes meetings taking into account: deadlines, timing, participants, connections, agenda, venue, and catering. Provides meeting minutes of key Staff-oriented meetings. This would include routine internal meetings, and external special events.
  • Document Management: Applies the rules for archiving and classification, educates the team, and encourages the practice through scheduling Document Management Days.
  • On-boarding. Leads the on-boarding checklist which includes things like computer access at arrival of team members (material and various networks / building access).
  • Identifies needs and leads requests within the deadlines, following the rules and procedures.


Purchase And Budget Management Of The Department


  • Review and analyze the budget expenses versus forecast and communicates to management team
  • Ensures that rules and procedures are applied by the team.
  • Processes orders and purchase requests for the department through the available tools: manages the requests, checks and tracks the orders and purchase requests, receives purchase orders, and forwards invoices to external service.


Welcome And Department Image


  • Prepares an agenda for guests or international visitors which includes booking appointments with various key team members.
  • Greets and directs visitors


This position is required to be onsite 5 days a week.
