Job Description
The Billing Specialist is responsible for ensuring accurate entry and maintenance of project information into the accounting system by reading and interpreting contracts. Will work closely with project managers to understand project requirements, coordinate with consultants, and support project managers with project-related accounting functions.
Duties And Responsibilities
  • Assist with A/P as needed.
  • Research and resolve invoice related issues.
  • Review and process consultant invoices, requesting revised invoices as needed.
  • Effectively communicate with Project Managers regarding contract documents, project budgets, fee breakouts, authorizations to proceed, change orders, modifications, approvals and any additional services related to billing.
  • Other accounting duties may be assigned
  • Assist with month end expense processing as needed.
  • Process invoice adjustments/credits and facilitate the write-off process for aged outstanding invoices to minimize uncollectable A/R.
  • Review labor and expenses posted to projects, clarifying discrepancies with the project manager.
  • Set up and maintain billing terms and other underlying accounting system data in FHU’s Accounting system, Vantagepoint to ensure invoices are calculated accurately and completely.
  • Close out projects upon completion.
  • Create and submit final invoice packages, special reporting, invoice templates, lien waivers, etc., as required.
The pay for this position has a range of $28-$32 per hour. The actual offer will carefully consider a range of factors, including your skills, qualifications, and experience.
Requirements
EDUCATION and/or QUALIFICATIONS
  • Previous experience with Deltek Vision/Vantagepoint (accounting specific) Software a plus.
  • Must have a good understanding of the fundamental concepts & practices of accounting.
  • Must have well-developed organizational skills, and strong with basic math.
  • Strong Attention to details is essential.
  • Must have the ability to operate a computer and the following computer software: Microsoft applications including Word, Excel, Outlook and Teams.
  • Must have the ability to easily communicate, both written and verbal, with various levels of employees and managers.
  • Previous accounting experience in the Architecture/Engineering/Construction industry is highly desired.
  • Three to five years of billing experience
