Job Summary

The company is in a rapid growth phase and is looking for an office manager to manage day to day needs of running a facility as well as support the staff in their ability to take the organization forward. An ideal candidate will be someone with impeccable organizational and communication skills and one who likes to support high-functioning teams in a startup like environment.

Primary Responsibilities:

Maintaining good communication with all current and prospective clients, temporary employees, and other team members of internal staff.

As part of the intake service process, assist clients in identifying their needs.

Assist clients with work-related communication issues.

Responsible for entering client information in database system.

Maintain confidential case files through proper documentation and case notes.

Conduct follow-up with clients.

Implement and ensure the integrity of operational standards.

Investigate and process clients complaints based on Policies and Procedures.

Assist with the onboarding of new employees.

Assist with client outreach plans.

Participate in community presentations and outreach events.

Help with planning and development of additional service program components.

Other duties as assigned.

Requirements:

We are looking for someone with the following experience and qualities:

Associate degree required (B.A. or B.S. preferred)

Proven facility management/office management/executive assistant experience

Inventory management experience a strong plus

Advanced computer skills including Outlook, Microsoft word, PowerPoint, excel, texting, emailing.

Proficiency in the use of other basic technology like mobile phones and printers

Minimum 6 years of work experience

Bilingual in English and Spanish

Experience with scheduling

Other duties as assigned

Reports to Director of Programs

Excellent time management, organizational, planning and multitasking skills for a fast-paced environment.

Attention to detail, problem solving, flexibility, and collaboration

A creative mind with an ability to suggest improvements

Strong interpersonal skills
