Job Description
POSITION: Bailiff
DEPARTMENT: Circuit Court
WORK SCHEDULE: 8:00 a.m. - 4:30 p.m., M-F
SALARY: $1,791.42 Biweekly
Incumbent serves as Bailiff for Circuit Court, responsible for performing bookkeeping and clerical duties, and assisting jurors and the public.
DUTIES:
Pulls files and prints daily court calendar and chronological case summaries (CCS) for scheduled cases, phoning jail as needed for transport of scheduled inmates.
Performs various clerical duties as assigned or as needed, including typing forms, pulling/replacing files, ordering office supplies as needed, distributing mail, entering data on computer. Maintains law library, filing supplements and ordering items as requested.
Prepares and processes department claims/vouchers for payroll and other costs, including verifying costs and documentation, typing, copying and submitting forms, posting in manual ledgers, maintaining balance of accounts, and reconciling monthly with Auditor's records.
Prepares and processes orders for mental health cases, and communicates with related facilities in setting hearing dates and exchanging information.
Oversees and assists jurors, including typing and mailing questionnaires, information packets and summonses, typing instructions, responding to inquiries, providing/escorting to meals during trials, preparing and processing claims/vouchers, and maintaining records.
Prepares various periodic statistical reports as assigned, such as status reports, expense and revenue, and inventory.
Performs duties of Probate Commissioner in his/her absence, such as receiving probate and guardianship filings, and maintaining related files and order books.
Periodically performs duties of Court Reporter in his/her absence, such as recording court proceedings using tape recorder and shorthand, and maintaining security of evidence.
Periodically prepares and attends meetings to present requests for additional appropriations and fund transfers to County Council as needed, and prepares annual department budget.
Performs related duties as assigned.
I. JOB REQUIREMENTS AND DIFFICULTY OF WORK:
High school diploma or GED.
Working knowledge of standard office and court policies, procedures, legal requirements and terminology, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
Working knowledge of basic bookkeeping principles and ability to make arithmetic calculations, maintain accurate records, balance fund accounts, and prepare related reports as required.
Working knowledge of standard English grammar, spelling and punctuation, and ability to take shorthand and type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, telephone, typewriter, copier, calculator, fax machine and audio and video recorders.
Ability to maintain confidentiality of information as required.
Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions.
Ability to effectively communicate orally and in writing with co-workers, other County departments, attorneys, jurors and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
Ability to understand and follow oral and written instructions and work alone and with others in a team environment with minimum supervision.
Ability to regularly work evening and/or extended hours.
II. RESPONSIBILITY:
Incumbent performs standard, recurring duties according to well-established policies and procedures, with priorities determined by supervisor, court schedule and service needs of the public. Work is periodically reviewed for technical accuracy, adherence to instructions/guidelines and department policies and procedures. Errors in incumbent's work are usually prevented through complete prior instructions from supervisor, procedural safeguards and legally defined procedures, and are readily detected through standard bookkeeping checks and/or notification from other departments/agencies or the public. Undetected errors may result in loss of time for correction, work delays and/or inconvenience to other departments, agencies or the public.
III. PERSONAL WORK RELATIONSHIPS:
Incumbent maintains frequent contact with co-workers, other County departments, jurors, attorneys, mental health facilities and the public for the purpose of exchanging information, and explaining policies and procedures.
Incumbent reports directly to Circuit Court Judge.
IV. PHYSICAL EFFORT AND WORK ENVIRONMENT:
Incumbent performs duties in a standard office environment and in a courtroom, which may involve sitting and/or operating a computer for long periods, sitting and walking at will, close and far vision, hearing communication, handling/grasping/fingering objects, and occasionally lifting/carrying objects weighing under 25 pounds. Incumbent occasionally works extended and/or evening hours.
